JOB PROFILE: Work as Executive Administration (June.2013 to Feb.2014)
For GAC- Global Analytical Center
• Maintaining Layout on daily basis.
• Oversee operations of the front desk, housekeeping, security & maintenance team.
• Handling transport operations in co-ordination with the transport supervisor.
• Hotel & cab booking.
• Statutory Compliance & compiling all the SEZ related documents.
• Oversee the cafeteria as well as the pantry operations.
• Meeting & event planning also client visits.
• Capacity planning & seat allocation.
• Procurement of R&M material, stationery & pantry material.
• Ensure there is proper training & briefing done for all the staff.
• Attending all the necessary audits.
• Coordinating with Admin, IT, Server Admin if there is any change of location or internal shifting.
• Taking Approvals from Heads before providing anything to the employees. (Coordinating both the sides)
• On boarding new joiners & formalities (for SEZ)
----Coordinate with HR for the documentation & Banking Formalities for the new joiners.
----Coordinating with SEZ Security persons for Forms & access cards.
----Making sure that they are providing access to their respective sections.
----Following up with the new joinees RM's for their seating location & required approvals.
----Following up with Admin, IT, BMS, to provide them Infrastructure, PC, Extension, Stationary, & Required access to drives.
----Incase of Internal transfers, making sure they have cleaned their drawers without moving them & handed the keys to the facilities.
----Creating On Boarding forms for new joinees & ensuring they are provided everything they need.
• Room Booking Pool laptops & vehicle.
----Coordinating with the Facilities and front desk Admin if there are room booking requests, arranging conference calls.
----Providing pool Laptop to Employees, who wants to take home, with required documents & Coordinating with IT.
----Coordinating with Security persons for renewing & making new Updates for all.
• Coordinating with Specific Team Managers & SEZ Facilities during Client Visit.
----Making sure Room Booking, Food, Snacks, Tea, Coffee etc. is arranged on Time.
• Coordinating with Employees working on public Holiday's.
----Advance Coordinating with employees who are working on Public Holidays & making sure they are provided food, transport & reimbursement on providing the bill by coordinating with employee-SEZ-Facility & Finance.

----For town Hall in Pune SEZ, Coordinating with Facilities, BMS & IT.
----Coordinating with Facility for the distribution of training Certificate & Prizes for SEZ.
