• Collate information for inclusion in reports, documents and correspondence, to support the effective work of other staff.

Assist in the recruitment of local staff including the drafting of vacancy notices and arranging for written tests, participate in oral interviews, draft interview reports and submissions to the LAAPC for the review by the Local Assignments and promotion Committee.
• Extracting and input data from various sources in the human resource database as well providing analysis when required;
• Responding to human resources queries from staff in the unit and elsewhere in the Programme;
• Reviewing supporting documentation for processing various actions; answer a variety of enquiries and supply readily available information from office files, databases, liaising with other offices as appropriate;
• Verifying benefit and other human resources related claims for accuracy and conformance with personnel rules and regulations;
Assisting supervisor(s) in monitoring the contractual status of all staff on various appointments based in immediate location or within the office’ mandate; monitor within grade service increment schedules and ensure the timely preparation and issuance of contract renewals and personnel action forms;
• Preparing HR related documents for the annual operations programme review. Provide input in the review of the training needs of the staff, making appropriate proposals to meet identified needs.
• Advising staff members on their rights, obligations, benefits and entitlements, and assist them in interpreting UN/UNHCR staff rules and regulations.
• Participating in the recruitment of local staff including the drafting of vacancy notices and arranging for typing, driving and/or other tests on the required skills. Draft submissions for the review by the local Assignments Committee (AC).
• Administering recruitment, assignment and reassignment of local staff in the AOR, in accordance with UN/UNHCR rules and procedures. Update personnel records in the office, including MSRP entries into HR module.
• Assisting and coach and training of junior support staff and administrative staff performing personnel administration related functions, including maintenance of the attendance, overtime and leave records.
• Assisting newly-arrived international staff with administrative formalities related to their accreditations, security/ground passes, submission of completed forms and related documents to headquarters, arrangements for their onward travel to the field office, if applicable.
• Administering UNHCR medical insurance plan for locally recruited staff. Provide administrative support to staff and dependents in case of medical evacuations.
• Maintaining liaison with the counterparts at support sections and divisions at headquarters, as well as at the respective Bureau, on matters related to the personnel administration support, medical and other issues of staff welfare and safety
• Performing personnel work including processing of P35s (i.e. Financial compensation related to separation )
• Tracking expiry dates of contracts for national staff and follow up with HR ROK through the head of Units for issuance of new contracts.
• Acting as focal point person for e-PADs, briefing and information sharing on the subject with all staff and collects, checks and Imports the e-PADs of the staff to the relevant software application as one compiled database file.
• Keeping track of the vacant posts and takes action on vacancy announcements, internally and/or externally ensuring that the Job Descriptions have been updated and made available.

• Maintaining hard and electronic copies of files for personnel records.
• Preparing and regularly updates the staffing table and prepares reports for timely actions and administrative follow-ups.
• Providing support to the Head of Unit in compiling applications and providing reports on the number of applications received
• Coordinating the recruitment of all local staff, conducting/arranging for typing, driving and/or PC tests
• Preparing relevant paperwork dealing with personnel related matters including recruitment, reassignment and/or transfers, ensuring accuracy and that deadlines are met
• Processing staff leave entitlement compensation and other requests for International & National Staff members.

Contractual status and request recommendations of extension from the Section heads at least four weeks prior to the expiry of the S\Ms contract. .
