Understand and implement the numbering system adopted for the project for the various documents and correspondences.
Obtain all the filled formats, checklists, requests, correspondences, notifications, etc. from the respective persons and transmit them to the client/contractor after checking the contents with proper numbering.
File all the documents received in separate files as per the content and distribute to the concerned people if required.
Receive all the incoming correspondence. Stamp all correspondences, in whatever form they may be, with the “Distribution Stamp” fill in the date of receipt, Project/Department reference, File number, etc.
Distribute to the concerned person any correspondence/reply/approval received from the consultant/contractor.
If the correspondence is a customer complaint, forward the copy of the same immediately to the QA/QC Engineer for further action.
Track with the help of an electronic register, all the documents and correspondences received, sent and forwarded to client/contractor/sub- contractor or any external source.
Label all the files with the description, file no. and volume no. and maintain an index for the same.
Locates and retrieves files upon request from authorized users.
Assist the QA/QC Engineer in tracking any document, Work Inspection Request (WIR) Material Inspection Requests (MIR), Test Report Submittal (TRS) etc. for distribution or reference.
Initiate the archiving of all project documents/records upon completion of the project.
Perform all activities in compliance with the Company Health, Safety & Environmental Management System (HSEMS) and the assigned specific responsibilities.
Comply with and implement the local laws and Client requirements related to Health, Safety and Environmental aspects at workplace as per the bestowed authority and responsibility.
REPORTS GENERATED:-
Tracking register for WIR, MIR, and TRS.
Tracking register for document transmittals.
Tracking register for Non Conformance Reports.
REPORTS AND INFORMATION RECEIVED:-
a) Work Inspection Request, MIR & TRS.
b) Incoming and Outgoing Correspondences
