Duties and Responsibilities: Kuwait - Construction Services Division

- Receiving and checking the document pack of all new joiners for Permanent & Consultant employees. To ensure all relevant documentations are available in the Recruitment Folder for system entry.
- Doing system entry for new joiners (Permanent & Consultant employees) and system update for any change of employee details including Notice of Terminations/Resignations, Withdrawal of Terminations/Resignations, Reduction and Extension of Notice Period.
- Creating a new folder for new employee and saving files/letters to the designated employee folder (for Employee Master File), Final Settlement Folder (for Leavers File) and Employee Change Form Folder (for Change of Employee Details).
- Maintaining the Consultant Tracking Report for Consultants staff - new consultancy agreement or extension of consultancy agreement.
- Consultant Payments - receive all individual Consultant timesheets on monthly basis covering all regions and divisions (office based & site based). To check & verify the details if all information is correct as per the agreement/contract and HRIS System and submit to payroll team to prepare payment request. To create purchase order entry in Deltek system for budget owner's approval. To follow-up with finance for the release of payments (cheque or bank transfer) and to communicate with the Consultants.
- Doing HR Induction and office tour for new joiners.
- Handling the Mobilization/On-boarding for an overseas new joiners and Demobilization process for leavers and for visa cancellation.
- Preparing Leavers Exit Documents for Resignation and Termination.
- Issuing of Termination Letters & Acknowledgement Letter of Resignation, Withdrawal of Resignation/Termination, Extension and Reduction of Notice Period letters.
- Coordinating with Leavers (Resigned & Terminated staff) in order to complete the exit process and clearance form as required to process the final settlement dues.
