Office Management/ Executive Assistant
• Supporting and supervising the receptionists, office assistants and company fleet of drivers as well as managing leave schedules. I am also responsible for organizing and coordinating Management/ Board meetings and events (both on and off site). This can often be challenging since I am responsible for ensuring that the diaries of 10 board members who work internationally for various firms are coordinated. This also has to coincide with travel arrangements to ensure the most cost effective air-fares and hotel rates are achieved.
• Independently managing emails and screening calls to the Executive Chairman. I also prepare and review written correspondence on his behalf. This requires me to maintain the highest level of confidentiality at all times as I frequently deal with sensitive material.
• Responsible for managing the daily calendar and diary of the executive chairman and other senior executives. This often includes organising multiple appointments as well as preparing records for subsequent meetings such as agendas and minutes.
• Communicating all new policies and procedures to the company as well as any business related changes in a clear, concise and effective manner.
• Overseeing facilities for two offices including parking, access cards and work permits. This also includes managing ad-hoc procurement items such as furniture and office/kitchen supplies, including identifying and implementing cost saving initiatives.
Travel Coordinator
• I arrange business travel for all employees. Preparing purchase orders, itineraries and all relevant travel documents.
• I am responsible for establishing and maintaining corporate relationships and special rates with preferred business hotels. (within the UAE and internationally) Ensuring the company Travel & Entertainment policy is adhered to at all times, flagging issues as and when they arise
