Responsibilities:
• Answers and screens phone calls of top management and prepare business correspondence.
• Maintains calendar schedule of CEO and President of the company
• Provides administrative support, responsible for handling highly confidential documents, protecting organization's confidential information, communication and information management, managing office, making travel arrangements, scheduling meetings and events.
• Maintains database of VIP clients with utmost confidentiality, maintains Loyalty Rewards Program database, and verifies and prepares Loyalty cards of clients.
• Assists in recruitment and manning through different job portals namely Caterer Global, Dubizzle, and company’s website and social media accounts.
• Attends through inquiries of clients through company’s website and emails.
• Conducts screening, initial interviews of applicants, schedules trade tests, and conducts reference check for shortlisted candidates.
• Assists in marketing activities of the company through social media accounts.
• Operates and use standard business office equipments.
Human Resources
Responsibilities:
• Runs an online recruitment system called SIVA hosted by JobStreet Philippines and evaluates resumés / curriculum vitae and qualifications of applicants
• Conducts phone interviews, facilitates cognitive and behavioural assessments for applicants, and prepares a database for evaluation and panel interview by the Recruitment Manager and Department Heads
• Conducts background investigation for the shortlisted applicants, and prepares pre-employment requirements
• Makes manning reports and assists in the skills matrix of employees
• Ensures that human resource files and records are maintained in accordance with legal requirements and company policies and procedures
• Assists in trainings, seminars, and events hosted by the department by making audio-visual and PowerPoint presentations, designs lay-outs for billboards and other printed materials
• Assists in inquiries for company policies, benefits, and programs
Responsibilities:
Purchasing/ Procurement
• Transacts with the engineers, managers, and consultants for different purchasing requirements and projects needed by the plant
• Sources for quotations from different vendors and suppliers, tabulates, and maintains organized spreadsheets and bid evaluation forms for assessment of the Engineering Department, Purchasing Manager, and Finance Department Head
• Selects vendors and suppliers with the most competitive bids, converts purchase requests into purchase orders, and ensures requirements are shipped and delivered on time in good condition, quantities, and quality.
• Evaluates and ensures that transactions are in line with the Standard Operating Procedures, compliance, and core values of the organization
• Executes administrative duties (e.g. responding to phone calls, faxing, photocopying of necessary files) for the application of sustaining department tasks.
