• Assisting the Principal with all administrative/HR work.
• Assisting and greeting Parents upon arrival /picking up their child/children.
• Assisting Students to their designated class.
• Updating the Principal of general incidents within the school.
• Jotting down every needs of staff and children and coordinating it to the Principal to take an immediate action.
• Acting as a liaison, when requested, for parents during meetings with the school management or teachers during and after school hours
• Helping the teachers and Assistant teachers when needed; such as monitoring them during class.
• Assisting primary parents with general requests - respond to pupil and parent enquiries and relaying any messages, relating to students or any aspects of school, immediately to the appropriate member of staff/teacher within the school. The exception would be private calls and messages for individual members of staff.
• Follow - up with Parents for incomplete documentation of their child/children.
• Develop and maintain a filing system for staff and students.
• Organize and schedule appointments
• Creating and organizing electronic staff and students file.
• Collecting required documents and creating ADEK profile for all staff and follow up the progress/status and update if there is an additional documents required.
• Coordinating school queries with ADEK, via phone call and email.
• Encoding all students profile on ESIS (online profile).
• Monitoring and ordering items/materials for the school needs.
• Uploading photos, creating videos for School social media page.
• Updating Children’s class register and attendance
• Helping teachers on their daily modules, hand outs, cut outs, laminations of shapes, drawings etc.
• Assisting teachers in providing a décor/decorating if there is any school activities, such as birthdays, mother’s day, Haq al Leila, Eid celebration etc.
• Operating computers and videos for children’s class/lesson.
• Serve as a focal point on any concerns with regards to the staff.
• Collecting payments and issuing receipt for student’s school fees and updating the system.
• Ensuring the class register is always updated.
• Management of calendar and scheduling of appointments.
• Perform a variety of administrative or executive support tasks that are highly confidential and sensitive.
• Providing secretarial and administrative support to Senior Management.
By encoding correspondences, reports & documents, handling or screening of incoming calls and visitors, setting meetings with various departments, clients etc.
• Taking dictation and adapting to craft emails, letters and memos from basic notes.
• Keeping records, correspondence, sorting and distributing incoming mails,
• Organizing internal and external meetings.
• Managing entire filing system and ensuring all files are labeled
documents are filed on a daily basis.
• Follow-ups with different departments, companies, persons on any pending documents as requested including status thereof.
• Managing all inward and outward correspondence of the Vice President’s Office in order to ensure timely and accurate receipt and dispatch of the same.
• Communicating information with internal colleagues and external clients /vendors when required and responsibility for transferring correct information, inquiries, complaints or messages to Senior Management.
• Provide discrete and confidential coordination of sensitive company information
• Conducting Minutes of Meeting.
