•Organize Annual Maintenance Contracts through RFP and RFA.
•Invite and coordinate with contractors for short term and immediate Services
•Create Request for Quotation based on Purchase Requisition and inventory reorder report.•Negotiate with the suppliers for competitive price.
•Scrutinizing quotations and prepare purchase orders.•See that the purchase orders are acknowledged.•Ensure that the ordered materials are reaching in store within the stipulated time.•Ensure that the services are started and completed within the time.•Meeting with the suppliers are held regularly and putting maximum efforts to obtain competitive prices.•Find out new sources and products for cost saving.•Conduct market survey for price comparison. •Evaluate the supplier performance and act accordingly.•Comparison of invoice with purchase details and advising the Finance Dept. for payment. •Ensure that the payments are released in time.
•Visit the market for material approval when necessary.•Monitor/control the usage of petty cash.•Control of inventory, non inventory and loans.
•Make sure that the issue and return of tools are correctly accounted.
•Ensure that the materials are being properly stored and preserved.
•Ensure the postings are up-to-date in the system.•Ensure that the rejected materials are returned to the supplier on time. •Carry out stock audits time to time. •See that the stocks of expensive items are kept as low as possible so as to keep down the investment on inventory. •Point out excessive consumption of materials and report to the Management.
•Supervise the overall activities of staff and ensure that they are following the standards/procedures correctly.•Ensure that the storage area is well maintained and comply with local rules and regulations.
•Discuss important matters of mutual concern with other departments.
•Prepare the list of obsolete and slow moving items and submit to the Management.•Deal with disposal of surplus and scrap materials.
