Assistant to the MD
• Act as an Office Manager to ensure the smooth running of office daily
• Diary and calendar management daily
• Act as a point-of-contact on behalf of the MD (personal and family visa, medical, vehicles, and insurance renewals)
• Manage internal and external communication flow from the MD office in a timely and accurate manner
• Travel and Accommodation arrangements for the MD and official guests as and when required
• Attend VIP guests on behalf of the MD/Arrange factory and Company Showroom visit
• Screen incoming calls/couriers on behalf of the MD
• Act as point-of-contact for the internal and external stakeholders
• Arrange/attend/coordinate meetings for and on behalf of the MD
• Draft meeting agendas/minutes of the meetings / Follow Up on MOMs/set reminders for the MD and other attendees
• Lead and supervise business events and gatherings on behalf of the MD at office and residence
• Prioritize conflicting tasks by handling matters efficiently and proactively for successful completion with deadline pressures.
Office Management
• Responsible for the upkeep and maintenance of MD’s
• Maintaining and ordering office supplies and furniture and ensure office equipment and facilities are functional
• Taking a lead on office layout design and changes after management approvals
• Responsible for maintaining and ordering stationery and grocery supplies
• Manage office budget focusing on cost-cutting
• File office expenses and prepare reports/coordinate with the Accounts Department
• Implementing and maintaining processes and procedures to enhance and maintain office decorum
• Liaise with IT department to oversee company/factory security surveillance network and report to the MD
• Supervise a team of Sale, Collection, Legal, HR, Admin, and Business Development
Sales and Project Development Coordination
• Prepare project reports / presentations / proposals / quotation and follow up with clients
• Conduct daily / weekly follow up meetings to keep the MD updated about
• Coordinating with Purchase, Store, Production, Printing, and Installation for campaigns execution
• Raise invoices and follow-up collection and coordinate with accounts
• Coordinate correspondences between clients and the MD and deal with clients'quires for after-sale service
Filing and Documentation
• Custodian of company legal documents (trade licenses, stamps, letterheads, MOAs, and POAs) and coordinate timely renewals and sponsors payments
• Draft letters and memos, proofread legal documents and liaise with company legal advisor and PROs
• Maintain office filing, tagging, and storage in cabinets and SharePoint for quick access
• Update employee files for HR audit and quick retrieval
• Coordinated HR activities and established HR Department
• Responsible for Recruitment and Selection
• Coordinated Recruitment and Selection process to recruit Toppers from local Universities and Experienced Profiles from the IT industry
• Source applicants through, Referrals, Job Portals, Campus Recruitment, Campus Recruitment, and Social Media
• Resume Screening, Interview Scheduling, Coordinate Entry Tests, Coordinate interviews/hiring process
