• Provide full secretarial and administrative support to the Client Operations Manager in order to relieve the administrative workload allowing valuable time to be spent on strategic and tactical issues.
• Maintain record and assist in administration of team: Allocation, attendance, overtime, leave scheduling & administration, employees records, etc
• Coordinate and communicate with operations staff, clients and other departments
• Communicate and liaise with clients as required by FM
• Manage FM appointments & diary, ensuring efficient use of time
• Prepare quotations from contractors and suppliers, comparison sheet and Local Purchase Order.
• Cross check invoices & delivery notes and ensure that the services are provided as per the contract or LPO.
• Receive and reconcile all invoices.
• Forward all the supporting documents to finance for timely payment to the service provider
• Perform other clerical and administrative duties as required
