Aramco SMP employee tasks to provide document control services and administrative support to the Project Management Team (PMT) with overall emphasis in monitoring & maintaining project records including storage, retrieval, archiving and final close out of files.
Collection and migrating documents and associated descriptive information from Shared Server libraries to EDMS document libraries. Checking that data received is loaded to project & master data stores correctly & catalogued accurately.
Responsible to upload, track and maintain Pre-commissioning documents in Yasref EDMS and Mechanical Performance & Closeout System (MPCS) central database with the main goal of gathering right information for walkthrough activities.
Interfacing between EPC Contractor’s Document Control Team, Yasref CADD & Engineering Library Team and Yasref IT Project Division regarding the handover process of Final project deliverables to Yasref.
Managing, monitoring and interpreting the contract design documents supplied by the architect. Day-to-day management of the site, including supervising and monitoring the site labor force. Planning the work and efficiently organizing the site facilities in order to meet agreed deadlines.
Liaising with clients and their representatives (architects, engineers and surveyors), including attending regular meetings to keep them informed of progress.
Provide document control services and administrative support to the Project Engineering Departments. Responsible for maintaining project records including storage, retrieval, archiving and final close out of files.
Implementation and development of Document Control related procedures. Continuous development and support to the Document Control team members. Auditing of the Document Control files and systems.
Reports directly and work as secretary to the Mines Operations Manager. Create report forms i.e. schedule report, daily attendance forms, typing inter-office memo, and business letters using word processing software (MS Word, Excel and IBM Typewriter machine). Do administrative tasks such as updating section personnel files and also vacation schedules, flight booking, travel authorization, etc. Faxing, photocopying and filing are also included in the regular duties. Preparation of Shift schedule and overtime forecasting for regular and contractor employees. Assist with meeting presentation using MS PowerPoint and prepare drawing using AutoCAD. Do related job as assigned by Manager.
Developing and maintaining an efficient document control center, and implementing of several procedures governing all document control activities. Monitoring the flow of documentation between the client, contractors, consultant, to and from office to ensure the timely acquisition of relevant documentation to an acceptable standard and quality. Maintaining systems to provide efficient storage and timely retrieval of project documentation.
Coordinate with the field engineer for whatever drawings or manuals essential in the construction (i.e., construction drawings). Update Drawing Control for As-built. Received/Log/Scan (Acrobat Format)/File and Distribute transmittals, Submittals (Request for Technical Approval), Change Orders, Technical Queries, Field Clarifications, Formal/Informal Letter and other pertinent documents to Lead Project Engineers, Project Engineers and other involve. Maintain a central Project Filing System.
Assigned to Document Control Center, update/monitor the Drawing Master Schedule/Reports. Update Drawing Control for As-built. Maintains the various databases used within the planning team and provides update reports weekly. Check/received/log file & drawing and distribute transmittals, Change Orders, Technical Queries, Field Clarifications, Formal/Informal Letter and other pertinent documents to Technical Manager, Lead Project Engineers, Project Engineers.
