• Primarily assisting the VP & Head of MENA & Turkey and generally supporting the sales team.
• Coordinating meetings and maintaining my reporting manager's calendar.
• Processing vendor payments via the company's online system.
• Processing my reporting manager's personal payments.
• Making travel plans and hotel arrangements on a monthly basis.
• Maintaining and filling confidential contract, agreements and legal documents.
• Drafting business letters, emails, etc and liaising with top level management and clients.
• General IT troubleshooting such as network access, installing programs on new laptops and ensuring maintenance of the server.
• Coordinating the usage and setting up video and voice conference bridges.
• Maintaining a monthly petty cash fund for the onsite Dubai office
• Maintaining office stores such as stationery, excess laptops and pantry items on a monthly basis.
• Assisting in organizing exhibitions and events.
Duties/Responsibilities include but not limited to the following:
• Greet visitors in a courteous, professional manner. Answer basic questions about the nature of the business and provide general company information, and determine whether they should be given access to specific individuals.
• Perform general office duties such as ordering supplies and maintaining the stores.
• Open, sort, and distribute incoming correspondence, including faxes and emails.
• File and retrieve corporate documents, records, and reports. Updating personnel files. Keeping updated record for staff annual and other leaves etc.
• Make travel and hotel arrangements for TWI managers, Trainers and Staff.
• Attend meetings in order to record minutes. Compile, transcribe, and distribute minutes of meetings
• Provide administrative assistance mainly to the Operations Manager and other company officers as required or as requested including correspondences, typing, information research, filing and taking telephone messages. Drafts memos/letters as appropriate. Manage and maintain operations manager’s schedules. Setting manager's personal appointments.
• Prepare responses to correspondence containing routine inquiries.
Responsibilities include;
• Maintaining confidential/non-confidential data in form of paper documentation and electronic information
• Reading, writing & editing various types of letters & presentations, including proof reading of the internal publications
• Monitoring processes relating to payments made to numerous vendors including keeping a record of each payment.
• Assisting the manager in day-to-day tasks when required to
• Compiling monthly-goal reports of all departmental employees and presenting it to the manager.
• Maintaining calendars, scheduling appointments and reserving meeting rooms.
• Making travel and accommodation arrangements.
• Maintaining and balancing petty cash fund.
• Operating office equipment such as photocopier, fax machine, and calculator; coordinates the servicing of equipment.
• Operating a personal computer and Blackberry phone to access e-mail, electronic calendars, and other basic office support software.
• Completes various request forms for office supplies and equipment as directed
Optional Extra Duties:
Collaborating with personnel from regional offices to collect data pertaining to planned/scheduled power shutdowns of areas all over Karachi, compiling the given data into a report and submitting it to be printed/broadcasted via the media on a daily basis in order to inform the general public of power shutdowns in their areas in advance as per regulation of the Government of Pakistan.
