a. Plans and Coordinates all PRO activities with regard to visa quota requests, visa processing, document renewals, arranging new license and renewal of various company licenses, etc.
b. Arranges all required documentation for PRO’s whenever they visit government offices, typing centers, agencies etc.
c. Carries out visa stamping for newly arrived staff and all related formalities including arranging medical test, E-ID, Labour contract, etc.
d. Responsible for arranging medical tests for visa stamping and renewal cases.
e. Coordinates with medical insurance agencies for arranging medical insurance cards for new joiners and renewal cases.
f. Submits visa quota planning report periodically to HR Manager and updates processing status from time to time.
g. Verifies vacation and airfare requests of employees and forward to HR Manager for approval. Confirms that all such requests are forwarded to payroll section for arranging payments on time.
h. Updates vacation, sick leave, weekly off days, loans and advances, etc. in the system on time to reflect the same in the net salary provided to employees.
i. Collects information with regard to transfer of employees and updates the same in the system for time & attendance and proper salary allocation.
j. Makes system entries for employees’ vacation and air-ticket payment upon approval
k. Updates all hire and termination/resignation every moth as of payroll cut-off date and makes a list of such employees on monthly basis as part of monthly report.
l. Any other related assignments such as vacation replacement for co-workers, etc. as advised by HR Manager from time to time.
Accounting Activity:
• Regularly monitor the Cash Inflow and Cash outflow of funds.
• Make budget sheets for visa expenses.
• Arrange and collect cash for visa and license expenses on behalf of PROs.
• Accounts Receivable - Follow up for pending payments (Cash/PDC).
• Petty cash management
• Calculating OT of employees with the help of Technical Director
• Calculation of Leave settlements, benefits, gratuity, etc.
1) Arranging Documents for New visa & visa Renewal Process.
2) Handling visa process with the help of typing center.
3) Update HR Manager on daily basis regarding New visa & visa Renewal status.
4) Request fund for visa processing to accounts department & get fund from accounts and paid typing centers Like Tasheel.
5) Arrange labours from supply agencies.
6) Managing Labour supply agencies and travel agencies for arrange labours, ticket booking and regarding payments.
7) Arrange PRO to emigration & labour department for completing visa process & visa cancellation.
8) Communicating with PROs regarding visa & license renewals.
9) Arrange Meeting for PROs on weekly basis with HR manager.
10) Payroll Processing through WPS system
11) Make employee leave salary, Air ticket and Final settlement.
