Receive equipment list scheduled for Projects.
Carry Out availability check within storage.
Update Operations Department if available or suggest replacements if shortfall.
Supervision of equipment mobilization / file reports to Head office.
Receive equipment back once demobilization occurs from site.
Co-ordination with client through Fax or Email for equipment mobilization &demobilization.
Yard Management including safety formalities.
Records equipment specifications & whereabouts using software developed by IFS Sweden.
Maintaining spreadsheets with expiration details & planning renewal of all hydraulic equipments.
Arrange necessary inspections with Third Party Inspection Providers such as TUV SUD Middle East, Claymore Dubai, Dutest Abu Dhabi, General Tech Sharjah.
Stock Audit in every 6 months.
Equipment Planning and allocation based on the projects committed.
Knowledge in Conventional / SPT and SPMT Trailers
Receive request
Negotiation with suppliers to obtain at least three quotations.
Purchase Order issue for order confirmation.
PO issued to be sent to supplier either by Email or Fax
Check delivery and update stores list.
PO submission to accounts for with Original Invoice & Delivery Notes
Preparation of Monthly Purchase Order Reports & distribution to accounts for payments.
Cost allocation to various Jobs & Projects.
Petty Cash Statements and bills payments.
Supervise receive, transport, barge and install co-ordination within UAE & GCC countries.
Co-ordination with shipping line for updates of marine vessel with heavylifts.
Mobilization of hydraulic trailers according to requirement at specified seaport.
Co-ordinate sea transport with barge & tug for delivery to site (if needed) or planroad transport directly from port to site.
Update & record daily progress on transport / installation of heavy lifts to top management.
Monitor project completion and forward necessary documents with details (Including delivery notes & cost incurred) to commercial department for final invoicing.
Negotiation with suppliers (includes transport, cranage etc.) for our sites and issue purchase order for the best rates provided.
Administrative Jobs such as filing, issue of necessary gate pass for seaports within UAE, registration renewal of company vehicles etc.
Human resource allocation for various projects.
Preparation of Petty Cash Statements.
Shipping procedures (outward and inward)
Negotiation with transporters and arranging required number of trailers as and when required for transport of equipment required for necessary transport and erection projects.
Preparation of shipping documentation includes certificate of origin, commercial invoices & packing list. Bill of lading if sea transport.
Co-ordination with customs clearance with appointed agents at borders.
Update to client for necessary receipt of goods and follow up with driver uptil delivery location.
Also coordinated sea and air freight shipments
Major projects worked on for clients like GENERAL ELECTRICALS (GE), SIEMENS, and KLS.
Administrative Job such as typing documents, filing,
Petty cash preparation.
Accounting transactions entry based on package "TALLY".
Attending phone calls etc.
I have completed Master in Business Administration (MBA) took Main subject as Human Resources and Minor Subject as Marketing. I have submitted an organisational study report on ALE Middle East LLC, the company which i currently work. Also a project on Motivation and Employee Performance was carried out and report was submitted.
