1. Oversee the preparation and revision of contracts that involve the purchase or sale of goods and services.
2. Coordinate estimation, bidding, tendering & prepare draft contracts for Manager Approval.
3. Oversee proposal planning and administration of contracts.
4. Negotiate Rates, terms and conditions of the contracts.
5. Maintain Vendors/suppliers info, vendor registration process & finding alternate competitive - vendors
6. Cost control in the division & workshop by negotiating with suppliers, vendors, sub-contractors & controlling wastage of material / spares
7. Prepare contract briefs and revisions summarizing contractual requirements and budgets.
8. Track authorizations and correspondence.
9. Maintain detailed contract communication with original contracts and organized files, renewals, reminders
10. Prepare contract change notices, monitor contract performance, including the reporting and status of sub-contractor and owner deliverables.
11. Maintain an audit file for each contract which will include original contract, all correspondence, changes/deviations, amendments, clarifications, payment schedules.
12. Prepare and disseminate information to appropriate employees regarding contract status, facilitate contractor meetings.
13. Ensure that contract is in compliance with legal requirements, owner specifications and government regulations.
14. Perform closing activities as needed & collecting appreciation letters, handing over letters etc
Track payments, deadlines & renewals as per existing market inflations.
15. Provide contract summaries and ensure contract execution in accordance with company policy.
16. Initiate Company registrations with different Govt. & private organizations
17. Visit work sites to ensure quality work & communicating with clients to develop rapport.
18. Meeting potential customers to increase the business for the company.
19. Coordination with other departments, clients, consultants & staff to execute projects without any hindrances.
20. Exploring new ideas to capture the market & provide better services with maximum profits
21. Following up with tenders posted in CTC & Kuwait Gazette.
22. Prepaying Agency Agreements
23. Communicating with MEW, MWP, KOC, KNPC, JO with Equipment business.
24. Maintaining database for RFQ, PO, Delivery notes submitted to various Ministry Sectors.
