- Fully responsible on documents conformity; apply document quality measures as per ISO 9001-2000 and all auditable measures on document management

- Processing, recording and updating payment certificates for contractors, consultants, projects manager & others as requested

- Manage Department’s archiving system including inventories, logs, and records

- Manage team files, records, support colleagues on case tracking & histogram

- Meets the Director of Property Department’s administrative needs such as

- Typing correspondences, reports, agreements, memorandum, etc

- Managing calls and correspondences directed to the Director

- Maintaining calendar, schedules and appointments

- Manages secretarial support for the team, including typing, scanning, photocopying, filing and binding; ensure messages are recorded and forwarded promptly and that office mail and deliveries are distributed correctly and promptly

- Monitor departmental materials, supplies and pantry items and order as needed

- Provide support to help resolve any administrative or logistical requirements that Departmental staff and/or visitors may have such as:

- Meeting room confirmation and food & beverage arrangements

- Coordination with service providers for hospitality and transportation

- Relaying communication or messages between the staff

- Error free record keeping and management of the filing system,

- Data entry requirements and typing up of meeting minutes and notes

- Manage the departmental diary and

- Make travel arrangements (as appropriate)

- Build an understanding of relevant processes and procedures that relate to the operational demands of the Department

- Comply with those procedures, maintain confidentiality at all times and recommend improvement and enhancements as applicable
