Processing & Handling Major Contracts (Maintenance of Eng. Services at KOC Hospital - KD1, 799, 000 & Building Maintenance & Civil Works at KOC Hospital KD2, 287, 188)
and various Minor Contracts (with contract value of KD30, 000)
Executing calls, meetings, awareness / training sessions etc. and various events including all electrical, electronic equipment and catering arrangements.
Handling employment / recruitment processes.
Routine and General Correspondence independently & in coordination with Engineers/Senior Engineers.
Drafting letters, internal memos, reports, investigations and quotations etc.
Supervising & maintaining an effective filing system.
Handling incoming & outgoing mails.
Handling HSE Live which is used to report all incidents/accidents/near miss at KOC premises.
Handling staff recruitment which includes creating & developing job descriptions, providing support in preparing advertisements, screening application forms, short-listing the candidates, interviewing & selecting them.
Coordinate to develop HR policies on issues like working conditions, equal opportunities, performing, management, absence management, & disciplinary procedures.
Advising on pay including employee benefits & promotion & other issues on remuneration.
Undertaking usual salary reviews, negotiating on issues regarding pay & conditions with staff & representatives.
Developing HR strategic plans with line managers, in terms of skill & number levels in considerations with long-term & immediate staff requirements.
Listening to grievances of employees & implementing appropriate disciplinary procedures.
Preparing advertisement & notices for vacant positions in the organization.
Handling company staff Appointments, Promotions, Change of designations, Terminations, Resignations, etc.
Correspondence with the Recruitment Agencies, Regional Embassies/Consulates, Ministries and other Legal/Trade Offices to clarify the inquiries and various problems.
Preparation of various reports on daily, weekly and monthly basis and as required by the higher management.
Calculation of incentives / deductions for staff as per company policies.
Preparation of salary statement of company staff.
Maintaining record of employees (attendance, overtime, sick leave, etc.)
Forwarding cases to Concerning Dept. to apply Work Permit / Visas for selected candidates and routine follow-ups.
Attending and executing business calls.
Drafting letters, internal memos, reports, inquiries and quotations.
Maintaining an effective filing system.
