Answer telephone calls on behalf of the Department Manager.
Address queries and take messages or redirect to relevant employee.
Take dictation from the Department Manager to prepare letters and/or self-correspond.
Prepare memorandums and circulars on behalf of the Department as directed.
Administer emails with requests or clarifications on behalf of the Department, obtain approval from Department Manager where necessary and respond.
Prepare and/or proof read and format layout and design of reports/documents on behalf of the Department Manager.
Send and receive faxes on behalf of the Department and arrange distribution.
Receive paperwork for approval of the Department Manager.
Coordinate distribution of documents to and from the Department Manager’s office, log and follow up as required.
Attend to visitors to the Department.
Organize company meetings both internally and externally as directed by the Department Manager.
Translate circulars and official documents from English to Arabic and vice versa.
Organize travel and accommodation arrangements for the Department Manager as directed.
Prepare and control stationery orders and kitchen supply orders on behalf of the Department.
Maintain and balance petty cash on behalf of the Department.
Maintain files and documents.
