• Coordinating with all relevant departments in all branches (Finance, admin and accounting) to ensure that all suppliers have received their payments on time and all documentation is present, auditable and match with the internal procurement policies;
• Generating and following up on bids analysis, purchase orders and payment requests;
• Updating procurement reports and submitting purchase status reports to the management;
• Training, supporting and working on the capacity building of other procurement and administrative staff members;
• Contributing to the company’s branding, marketing and advertisement strategies as well as social media content;
• Keeping up with the product and services trends and collecting updated data on the market and the local suppliers;
• Checking the quality and quantity of the goods and services ordered and ensuring that they match with the technical specifications agreed on in the procurement process;
• Creating delivery notes, updating the stock follow up and ensuring that all goods are stored per expiry date, PR reference, batch numbers, …;
• Meeting with the clients, understanding their needs and communicating the delivery pipeline in a structured and transparent manner;
• Creating illustrations to reflect on the theme and proposed product/s based on the clients’ needs;
• Designing web pages, infographics, videos, logos, posters, brochures, advertisements, social media posts and other communication templates;
• Producing drafts to be reviewed by clients and adapting the products’ based on the revisions and the feedback received;
• Designing booklets, brochures and other communication hard copies that match with the clients’ entities’ branding and themes;
• Supporting in creating creative and innovative content ideas that are aligned with the product in hand.
• Negotiating contracts with suppliers, monitoring their performance;
• Reviewing procurement documents and preparing orders, monitor cost-reduction strategies;
• Developing and maintaining strong relationships with vendors and suppliers;
• Tracking inventory levels and managing purchasing activities.
• Creating deals with hotels for online presence (booking.com, expedia.com ...);
• Creating hotel profiles that are accessible by the employees as well as the clients;
• Updating and maintaining booking systems, and following-up on hotel occupancies and vacancies.
• Creating the bar concept and branding theme and communication templates;
• Handling all logistical requirements including managing maintenance workers;
• Training the staff members and following up on their performance.
• Ensuring that data is stored in an accessible and secure system;
