-Screening telephone calls, enquiries and requests, and handling them when appropriate
-Organizing and maintaining diaries and making appointments
-Dealing with correspondence and writing letters, taking dictation and minutes
-Organizing and attending meetings, and ensuring the manager is well-prepared for meetings
-Dealing with incoming email, faxes and post
-Producing documents, briefing papers, reports and presentations

- Assist with filing and administrative tasks.
- Create and/or manage databases in client management software.

- Schedule and manage diaries.
All the administrative support and taking enquiries on behalf of the Educational, political counselor,
-Meet on a regular basis to provide project updates and share relevant information.
-Visit Organizations and conduct mission to field as necessary in consultation with the project manager.
-Provide administrative and logistic support to the Project office.
-Assist with special projects and reports as needed.
-Establish and maintain the Project's information management system.
-Provide logistical support for all project training courses, seminars and workshops.
-Receive screen, log and route correspondence, attach necessary back ground information and maintain follow-up system for action and deadlines.
-Prepare tracking documents for meetings, and update tracking tools regularly.
-Assist in arranging programs for in-coming and out going official missions, make appointments with project stakeholders, including logistical arrangements and secretarial assistance.
-Follow up with the implementing partners and sub-contractors for progress report, submission of reports and recent data on target group and other information material.
-Collect data from the Implementing agencies and obtain information materials, publications, newsletters, etc.
-Review data and information generated by the projects' implementing agencies and prepare information materials for briefing and review sessions.
-Meet and greet clients and visitors.
-Create and modify documents using Microsoft Office.
-Perform general clerical duties to include but not limited to: photocopying,
faxing, mailing, and filing.
-Maintain hard copy and electronic filing system.
-Sign for and distribute UPS/Fed Ex/Airborne packages.
-Research, price, and purchase office furniture and supplies.
-Coordinate and maintain records for staff office space, phones, parking,
company credit cards and office keys.
-Setup and coordinate meetings and conferences.
-Maintain and distribute staff weekly schedules.
-Collect and maintain PC inventory.
-Support staff in assigned project based work.
-Provide office orientation for new employees.
-Setup accommodation and entertainment arrangements for embassy
receptions.
-Other duties as assigned.
