Reports to: Head HR & Admin Manager.
Key Deliverables:-
• Manages, executes & controls of HR administration activities such as work application
process (e.g. Medical, Vacation etc) & benefits / welfare administration (e.g. medical
insurance, employee leaves, and loan).
• Assist with recruitment processes notably; liaising with recruitment agencies, preparing
and posting job requirements, screening applications, arranging interviews, selection and
placements of candidates, documentations of new hires.
• Responsible for both Internal and External adverts within the Company and identify the
best possible sources of recruitment.
• Uses sourcing strategies to look for talented and diverse candidates through creative
methods & internet, on-line databases, social media, employee referrals and networking
events.
• Responsible for selection and recruitment of employees, based on the defined policies and
procedures as well as in line with manpower plan and employee requirements as defined
by the recruiting managers.
• Screen & Shortlist potential candidates from advert responses considering the requirements
of the vacancy.
• Managed scheduling and logistics for all interviews between candidates and hiring
managers; including candidate travel arrangements;
• Responsible for maintaining candidate databases and indentifies suitable candidates via
available channels.
• Develop and maintain relationship with employment agencies and other recruitment
sources.
• Work closely with Project Managers to manage project demobilization and transfer of
internal candidates.
• Manage the flow of communication between new/potential recruits and the relevant
contacts within the organization.
• Review Company's Organization structures and updating approved changes in the
structure/layout and system in order to maintain an up to date organization chart at all times
covering every division within the company.
• Maintain records of internal promotions, transfers, leavers & recruitments in order to
conduct analysis and support planning cycle.
• Preparation of related Management Reports including organization charts, manpower
summaries, movement, analysis, for senior management review (Executive Director -
Vice presidents etc.).
• Prepares Annual leave plan and carry out the necessary procedures for employees’ vacation
& temporarily replacement.

• Assist HR manager for Implement the salary structure with grade as per approved
designation & company policy.
• Assist the Training section in the processing of employees' training requests, updating
training database, training providers list, including training registrations & coordination’s.
• Identifying training and development needs in the Company through job analysis, appraisal
schemes in coordination with department managers.
• Designing and developing training and development program’s based on both the
company’s and the individual's needs.
• Arrange on-the-job training for new hires in coordination with department managers.
• Organizing training venues, logistics, transport, and accommodation as required achieving
efficient training attendance and delivery.
• Enters newly hire contract information in the SAP HR.
• Attend HR Managers weekly meeting and spearheads HR related issues.
• Prepare monthly reports such as Headcount, Organization Charts and Employee Turn-over
for submission to Group HR.
• Submitting quarterly & annual HR Summary reports to the senior management on the
attrition / retention status & manpower status as & when required.
• Visit Project\plant sites on regular basis for identification of issues regarding HR.
• Ensures updating of organization charts from time to time in line with organizational
changes.
• Maintains on time completion of appraisal cycle for all employees and maintains an
equitable reward criterion for reward decisions in line with the business need of the Group.
• Maintain the company HRS e-mail, ensuring all e-mails are stored and replied to within 12
hours.
• Ensure work permit (IQAMA) / clearance certificate is collected from employees before
handing of tickets and passport to them.
• Reviews employees’ Overtime, Allowances & Benefits and then requests to Payroll
department to process the payments accordingly.
• Prepare & arrange necessary documents for Salary Adjustments.
• To supervise and follow up appropriate action for management decisions on grievances.
• Reviews employees' claims and payments request assess against Company policy & submit
to finance section for payment.
• Monitor probationary period status of employees, and check action letters issued to
implement the approved decision.
• Regular meetings with direct supervisor to discuss related issues and plan.
• Coordinate with PRO for different Human Resource activities related to Government
Relation services such as issue New Iqama & Renewal, Exit and Re-Entry Visas, Work
Permit Card and Passport Renewal etc.
• Keeping track of staff passport & Iqama renewal dates and reminding them to renew the
passport one month prior to expiry date.
• Oversee the development and implementation of an effective performance appraisal system
that is in line with company’s policies, supports the performance measurement system
developed by the organization development department, and is tied to the bonus and
promotion schemes of each employee.
• Assisting the new recruits to obtain health card and complete the medical formalities and
submitting the relevant papers for visa stamping on time.
• Coordinating employee internal transfers and update personnel record accordingly.
• Assisting the HR Manager with the development and implementation of local HR
programs.

• Providing support for on boarding / orientation program’s.
• Maintaining and updating employee personal files and HR records in compliance to the
QMS system
• Review, verifies and maintains all personnel files and update employee documents (Leave
form / Payment request / Sick leave / Business trip request & expense report etc), records
and certificates in personnel file in line with the established filing system.
• Observe and control site absenteeism and inform the same to HR & Administration
Manager. Keep check in leave entitlements for staff and operatives.
• Monitor employee leave travel movement and submit reports on late attendance and late
leave returns.
• Co-ordination with Finance department for Annual Leave Salary / Final settlement /
Advance Salary & Payment request etc.
• Coordinating with PRO for Exit / Re-entry visa (Such as Emergency Leave & Annual
Leave proceeding Employees).
• Provide assistance in monitoring employee performance through appraisals and evaluation
processes.
• Assist in designing an employee policy handbook.
• Preparing CV's according to the company format to submit for Client Company.
• Preparing and issuing ID cards for all employees.
• To coordinate the administration in the reward and recognition system.
• To ensure the Suggestion & Feedback Boxes are emptied on a monthly basis. Suggestions
are responded to in writing as to what actions can be taken. Ensure this program is promoted
appropriately. To undertake any other tasks that may be required by the GM of Human
Resources.
• Responsible for effectively recording, maintaining company assets issued to employees
such as Company Mobile Phones, SIM Cards, Company Laptop and Company Vehicles

Reports to : Head HR Manager
Key Deliverables:-
• Attracts talent and carries out recruitment and staffing of various positions at each
Department & project\plant levels within the Group through internal transfers and
assignments within Group or outsource the carry out recruitment from outside according to
the business needs.
• Provide annual staffing/manpower plans to the management based on the recommendations
and Information collected from various departments/projects heads.
• Work with all departments to review manpower planning and recruitment needs.
• Direct the organization’s recruitment activities to ensure that manpower requisitions and
staff movements are in accordance with the approved manpower plans and staff
establishment.
• Reviews the monthly recruitment, internal employee movement and leavers status, and
recommends necessary measures to remain within approved manpower plan.
• Maintain records of internal promotions, transfers, leavers & recruitments in order to
conduct analysis and support planning cycle.

• Conducting pre-screening interviews, short-listing candidates & recommending for
technical interviews.
• Conducts competency-based interviews and uses appropriate assessments.

• Coordinate & arrange Interviews of shortlisted candidates & test candidate (through CV,
telephone, in person) & update candidate database
• Corresponds with manpower supply contractors to mobilize candidates for deployment
within the company.
• Ensure that employees are deployed in the right positions according to skills, experiences
and overall goals and objectives of the company.
• Checks candidates' references with their previous employers.
• Screen and negotiate job offer with external & internal applicants to fill up vacant positions.
• Pre-employment formalities & Makes offer to successful applicants, negotiates when
necessary and regrets unsuccessful applicants.
• Oversee the visa processing and ensure that the new recruits are mobilized on a timely
manner.
• Coordinating with PROs for applying and renewing Employment visa, Visit Visa, Work
Permits, Visa Medical Test etc.
• Conducting new employee orientation to prioritize ease of adjustment into environment.
• Responsible for the joining formalities for new joiners and creating their employee code
and other management related requirement in SAP.
• Prepare personal files of new joiner & generate personal ID no (i.e.- Update resume /
Medical fitness report / employee personal details with update contact details (Home
country) / Interviewer comments etc).
• Keep the SAP database updated with employee information like family status, educational
qualifications, recruitment applicant data, etc. in order to ensure the integrity of the
database.
• Inform the concerned Divisions/Departments about arriving of new employees.
• Builds effective working relationships with placement agencies, colleges, universities and
job fairs for recruitment purposes.
• Review Company's Organization structures and updating approved changes in the
structure/layout and system in order to maintain an up to date organization chart at all times
covering every division within the company.
• Continuous follow up with the Line Managers for feedback on the employee’s performance
during the probation period & keeping track of employee confirmation process.
• Maintaining Organization Chart and Competency Matrix, developing and on time updating
Job Descriptions and effectively conduct Job Evaluation.
• Prepare monthly reports such as Headcount, Organization Charts and Employee Turn-over
for submission to Group HR.
• Review, verifies and maintains all personnel files and update employee documents (Leave
form / Payment request / Sick leave / Business trip request & expense report etc), records
and certificates in personnel file in line with the established filing system.
• Reviews employees’ Overtime, Allowances & Benefits and then requests to Payroll

and development, compensation-benefits, payroll and employee relations.

• Take active part in conducting exit interview, mobilization and de mobilization of

systematically introduced to business culture.
• Process all salary changes, promotions, bonuses, and pay adjustments and ensure that all
necessary documents are received; information is entered into computer database, and
forwarded necessary document to payroll section & finance.
• Conducting exit interviews & advising senior management on employee retention
strategies, benchmarking market scenarios.
• Ensure all vacancies are filled with the suitable candidates within the targeted time.
• Verify all recruitment invoices and initiate the payment certificate to obtain approval of
Management.
• Performs miscellaneous job-related duties as assigned by the manager.
Training & Development:-
• Co-ordinate with the Heads of Departments for nomination of employees for internal and
external training programs.
• Liaise with external training providers for the outsourcing requirements.
