Assist the Senior Construction Manager and Superintendents in tracking analysis and forecasting of ongoing projects.
Maintain filing system for contract documents in accordance with auditing procedures.
Perform all administrative duties and support for the project.
Supervise site administrator and time keeper team.
Maintain documents for received materials, Safety, QA/QC, labor qualifications and certifications, training, etc.
• Perform all administrative duties and support for the project.
• Establish and maintain effective communication and coordination with Company personnel, including all senior staffs.
• Assist in the planning and preparation of meetings, conferences and conference telephone calls.
• Record all minutes of meeting and write all correspondence like Memo, letter and transmittal etc. for the project manager.
• Maintain management information systems (manual or computerized)
• Supervise and coordinate activities of staff
• Conduct orientation programs for new employees
• Provide and maintain business premises and other facilities including plant machinery and equipment.
• Provide secretarial or executive services for committees.
• Administer salaries and work out leave entitlements.
• Liaising with office contractors, including IT service providers & building maintenance as required.
• Assist Mall Admin Manager in Plan out yearly activities for the mall.
• Submission of reports to management relative to mall operations.
• Evaluation, approval and monitoring of all tenants, construction and renovation and implementation of Construction Guidelines
• Supervision of monthly rental collection and prompt dissemination of monthly billing statement. The same is being coordinated with the accountant.
• Ensure adherence of all tenants to the Lease Contract, House Rules and Regulation and therefore the implementation of its provision
• Maintain the general filing system and file all correspondence
• Receive, direct and relay telephone messages and fax messages
• Direct the general public to the appropriate staff member
• Make preparations for Band Council and committee meetings
• Maintain an adequate inventory of office supplies.
