• Provide Confidential Secretarial and Administrative support for the Project Director, Project Manager Project Control Manager, Assistant Project Director Construction, Management and Departments Managers. Managing the Schedules/Calendar, Making Travel Arrangements, Screening and Handling Telephone Communications, Greeting and Directing visitors and dealing with Administrative Problems and inquiries as appropriate.
• Full Responsible for Departments Administration Activities/Assignments e.g Correspondences (Transmittal, LA, LM, MOM, ME, Documents Submittals etc.) and Monitoring all incoming and outgoing Correspondences Tracker as well as Documents Control with Record and Reference Number.
• Preparation of Departments (MA & PC) Operating Manual and updating time to time.
• Preparation of Organization Charts, Employees Job Descriptions (MA & PC).
• Coordination of office Administration functions and direct reporting to the PD, APD Construction and APD Project Control.
• Prepare the Invoices Cash and Credit, Daily Cash handling Receive, Payments and Closing record
• Correspondence to Customers, Suppliers, and Verifying the Suppliers and Customers Invoices.
• Attending telephone calls & Customer enquiries and All Administration responsibilities
• Maintaining of the Creditors & Debtors Ledger Accounts, Preparing of Cash and Bank Vouchers
• Preparing of the Circulation and Advertising Agencies Bills and Cash receiving from them
• Prepare the Reconciliation of Bank Statements and Deposit and withdraw money from Bank
• Verifying the Suppliers Invoices and Preparing for Payments.
