• Gathering and Reporting Manpower Requirements from Project Management & Site Management teams.
• Submitting Manpower Forecasts to the Manpower Planning Service
• Monitoring and Following up the Progress of Mobilization and Demobilization of Manpower
• Preparation of weekly reports for Existing Manpower on Site as per actual Site Function
• Follow-up and track Staff Arrivals, Missions In, Missions Out, Resignations and Terminations to keep Existing Lists up to date, and ensuring the accuracy and completeness of all Staff Records
• Initiating Transfer of Personnel between projects within the assigned area/mega project, in accordance to the needs, and after securing the approval of the Area Manager
• Updating Release Lists, Non-productive Lists, Accommodation status, etc. and submitting to the Manpower Control Department whenever requested
• Updating the status of Rental Manpower on site and providing regular reports to the Manpower Control Department, and validating of rental manpower requests and associated budgets
-Requisition new/vacant positions
-Preparation, posting and monitoring of job placements
-Review/Pre-Selection of applicants by personal interview or via phone to verify skill level and qualification, creating short-list for final interview for required levels
-Scheduling interviews between candidates and interviewers, conducting reference checks and administering testing
-Maintaining applicant tracking system (ATS) to ensure data integrity and compliance, and use ATS to track all activities associated with candidates. Assist/coordinate ATS user training.
-Prepare and distribute candidate correspondence, including e-mails, faxes, offer letters etc.
-Coordinate in-house recruitment effort, planning/scheduling presentations/interviews.
-Conduct reference checks on candidates
-Daily/Weekly/Monthly reporting and feedback to senior management
-Responsible for coordination and liaison with overseas recruitment agent
-Coordination for transportation of new arrivals
-Initial paperwork for Visa processing
-Interview and assess candidates based on Company procedure and departmental requirements at required levels
-Report on proposed candidates to relevant management. Coordinate with relevant department regarding visa process.
-Actively involved in HR and Personnel Activities which include (arranging Labor Card, Medical Card, Cancellation, Labor Contract, etc…)
-Coordinate with the driver in Sending visa to airport.
-Time to time replacing candidate going On vacation from HR and personnel.
-Perform such other related Functions as may be assigned from time To time by the HR Manager.
-Updates the database and filing for all CV's from all sources.
1. Administration of employee information/requests and day to day administrative functions.
-Coordinate with internal departments for various issues
-Assist in the processing/issuing of medical insurance cards
-Process leave applications
-Prepare employee information on request, including salary information, employee certificates etc.
-Review, request and send ticket orders for ticketing and coordinate ticketing issuance.
-Write N.O.C letters and other certificates requested by employee
-Coordination of visa process in conjunction with PRO Department and Site
-Renewal of passports, residence visa and labor
-Coordinate with Payroll and finance departments to provide them employee details.
-Manage relevant records of (annual vacation, medical leave, maternity leave etc)
-Review and process administration of reimbursements (housing, travel, health insurance etc) disbursement of allowances & dues to the employee as per their eligibility and maintain records of the same.
-Monthly reporting on visa/labor card legibility and absences.
-Coordinating and reviewing of incoming/outgoing information (related to transfers/allowances)
-Maintain employee personnel data and records.
-Other reasonable administrative requests when required.
2. Processing of Cancellations/Terminations
-Ensure cancellation process (termination letter) is carried out and processed from HO to Site, and that all departments are communicated with.
-Request final documentation from Sites (SMF, Time-sheets, clearance from store and camp and medical insurance card).
-Ensure preparation of final voucher in conjunction with payroll.
-Liaise with the employee for final collection and signature.
-Make necessary flight arrangements for employee, and ensure necessary documentation (tickets, passport, transport arrangements) are finalized.
Acting as the coordinator between the IT section and Administration
-Designed & Developed a Registration and Schedule Program using MS Access & Visual Basic and has the following screens:
-Purchase Order / Balance Sheet / Schedule Management / General Assessment / Administrative strategies & Routines / Generating Reports
-Reporting, Doing Presentations, Graphic Charts and issuing Memos
-Conduct Computer training sessions - all levels
-Manage the school daily administrative strategies and routine.
-Provide book keeping management and control - student s fees, payroll and other expenses.
-Involved in all aspects of public relation to best promote the school.
-Study and distribute the assigned curriculum to best suit the ability of the students.
-Recruit the teaching staff and plan the school year daily teaching schedule.
