Preparing all necessary bank letters and certificates based on employees’ requests
Serve as the point of contact for employee issues and enquiries, including but not limited to benefits and company policies
Manage staff’s absence, leave and attendance recording system.
Maintain the human resource records of all employees, include information as name, address, job title, and earnings; benefits such as health and life insurance; etc
Maintenance of manual and electronic files and general correspondence.
General office management, coordinate all administrative issues for the whole sales and retail team
Preparing ad hoc reports for management showing employee performance based on sales targets.
Screening and shortlisting CVs for interviews
Liaising with recruitment agencies on potential candidates and interview arrangements
Preparing employment contracts for new employees and negotiating offers with successful candidates
Working closely with management to schedule performance reviews with employees under performing consistently
Overall interface between employee and management for policy matters.
- Facilitate the focused HR Talent Management Way in partnership with line management to ensure quality, competent staff members are employed.
Manage and arrange travel itinerary for overseas candidate for interview process.
Prepare list of vacancies and notify Head of Departments of position availability.
Conduct telephone screening interview.
Update and maintain CV databank.
Coordinate and schedule Personality Assessment test for senior selected candidates.
Provide support and guidance to new joiners in HR formalities and processes.
Coordinate and assist new joiner in completing the pre-joining formalities.
Conduct workshops and road shows to create awareness of HR policies, procedures and processes.
Provide good employee services to existing staff.
Handling Business Unit Staff personal files
Negotiate terms and conditions of employment and prepare offer letter and, cost analysis for the selected candidates.
Coordinate and follow-up the training & development plan and schedules for employees.
Responsible for preparing all kinds of certificates for staff.
Maintain and monitor employee completion of probationary period.
Handling the Relocation Service for New joiners.
Handle all employee claims (Education / Medical) in coordination with Payroll Dept.
Organise and conduct corporate induction program for new employees in line with company’s vision and values.
Maintain and monitor Leave and attendance database.
Maintain confidentiality of staff information, files etc.
Assist HR manager and other line managers in carrying out various HR activities inline with policies and procedures.
Provide clerical support to the MD
Typing and data entry for correspondence, records.
Maintain calendar; schedule and coordinate meetings for the MD.
Draft correspondence as required.
Manage/receive incoming and outgoing telephone, fax, e-mails and correspondences related to MD.
Reviewing incoming correspondence and initiating replies as appropriate and route matters requiring action by staff or other organizations and follow up to ensure actions are completed.
Maintain and create files and record keeping systems. Sort, label, files and retrieve documents, or other materials for the MD.
Coordinate and schedule travel arrangements for the MD when required.
Maintain confidentiality of sensitive information.
Perform other duties as assigned.
Currently working as an Admin Asst, reporting directly to General Manager of Planning, Infrastructure & Utilities. HR Focal point of the dept. Handling 27 employees currently.
Handling database of emplyees.

Responsible for arranging medical cards for staff (GOVT & PVT)
Assiting HR in Visa related issues of new employees.
All admin related necesary forms.
