Project Name: Al Faisaliah Redevelopment & Upgrade Project.
Position: Senior Document Controller.
Project Description and cost: Al Faisaliah Hotel Upgrade, Al Faisaliah Mall Refurbishment (MODE MALL), 7 Restaurants execution, with Cost more than 1 Billion SAR.

Duties and responsibilities:

˗ Aconex Admin for All Al Khozama project’s (Al Faisaliah Hotel (Block A, B, C and D), Al Faisaliah Mall (MODE MALL), Restaurant’s-LA BRASSERIE, MAMO, MERAKI, Yauatcha, LPM, MAIZ and Mastro's in DGDA and Al Muttasim Street).
˗ Establish and update tracking logs & Drawings Register for different Engineering Submittals such as RFI, MIR, MAR, RFC, RDC, SDS, MS, PS, ADS, RFP, NCR etc.
˗ Ensure the accuracy of documents received from contractors, consultants and suppliers to the project and return to originator if not compliant with company procedures.
˗ Update Official Correspondence, Letters, and Reports to the Sub-Contractors, Suppliers, Consultant, Designer etc.
˗ Maintenance of Official Co-ordination between the Consultant, Client and the Sub Contractors/Suppliers.

Duties and responsibilities:
˗ Building Archiving scope and priority for confidentiality measures and assigning
authorities to end‐users’ members, document control section head handling
documents—Correspondence—Technical documents with main contractor and
subcontractors—Prepare correspondence daily report.
˗ Establish and update tracking logs & Drawings Register for different Engineering
Submittals such as RFI, MIR, MAR, RFC, RDC, SDS, MS, PS, ADS, RFP, NCR etc.
˗ Ensure the accuracy of documents received from consultant and suppliers to the
project and return to originator if not compliant with company procedures.
˗ Assist Project management consultant on documents for submittal to client.
˗ Update Official Correspondence, Letters, and Reports to the Sub‐Contractors,
Suppliers, Consultant and Client etc.
˗ Maintenance of Test and Warranty Certificates of Calibrating equipment’s.
˗ Submission of Materials and Prequalification’s of contractors, subcontractors and
suppliers to the project management and client.
˗ Maintenance of Official Co‐ordination between the Consultant, Client and the Sub
Contractors/Suppliers.
˗ Reading, analyzing and forwarding of incoming memos, submissions, and reports
through a proper file management system.
˗ Overall execution of the project warehouse dept. & camp including the preparation of
weekly & monthly warehouse report.
˗ Preparation of monthly billing invoices and preparation of material requests.
˗ Handling of petty cash, local purchase, preparation of workers overtime & salary
statement.
˗ Preparation of daily manpower allocation report.
˗ Demobilization & preparation of the punch list items of camp and supervision of the
site clearance.
˗ Maintaining coordination with the department/personnel and the rest of the office
staff.
˗ Maintaining the inflow and outflow of goods (food, and office stationery like paper,
pens, pencils, notepads etc.), arrangement for repair and maintenance of office
equipment, inventory of office supplies and equipment.
˗ Making travel and stay arrangements prior to planned travel for the employer or the
department personnel from one place to another.
˗ Interaction with clients and customers and keep track of the improvements.
˗ Maintaining confidentiality in all aspects while dealing and working with any
organization.
˗ Maintaining records of the company’s events and progress.
˗ Supervising the company drivers and vehicles movement on the project through
Admin vehicles & Drivers.
˗ Greeting visitors and determine whether they should be given access to specific
individuals.
