Roles & Responsibilities:
•Assist with day to day operations of the HR functions and duties like processing Work permit, Visa, Medical Insurance and Renewals.
•Maintain employee information by entering and updating employment and status-change data in line with ISO standards and Audit requirements.
•Provides payroll information by collecting time sheet and attendance records.
•Searching suitable candidate, coordinate communication with candidate and scheduling interviews.
•Conduct initial orientation to newly hired employees.
•Arrange technical and safety trainings to make the employees well trained and to execute the job in professional manner.
•Maintain employee confidence and protects operation by keeping Human Resource information confidential.
•Coordinate and regular follow up with PRO in MOL, MOI and CNIA Department works.
•Provides secretarial support by handling petty cash, tenancy Contracts and renewals, maintaining, periodic Vehicle maintenance records like repair and services, office supplies and Maintenance.
Preparation and arrangement of all kinds of documents like Technical, Quality, HSE, Finance, office facilities for the Prequalification process for both contractor and Vendor in ADNOC Group of Companies.
•Regular follow ups, Mail communication with vendor officers for the status and approvals.
•Attend the Pre-approval meetings in ADNOC Group companies, ADWEA etc.
•Involve in Private organizations prequalification process for major client approvals.
•Back-end Support for the Sales team in preparing the company profile for the customers, arranging the meeting with customers.
Subcontractor/Supplier Management:
•Identify potential range of suppliers and subcontractors with their capabilities, work experiences related to the site requirements.
•Contacting Subcontractors/Suppliers, floating RFQs’ to the Vendors, receiving Quotations, Technical &Commercial Clarifications with vendors as per the tender requirements.
• Collecting the Technical data sheets of the products, Manpower details with grades and standards according to the project requirements
• Communicating with vendors to obtain their Quotations and clarifying the queries if any.
• Preparing price analysis & technical evaluation of the subcontractor/supplier quotations which then forwards the comparison statement to the Project head for finalization.
• Arrange the meeting with vendors to finalize the order/contract with mutually agreed payment terms, delivery etc.
• Preparation of progressive invoice for the client & evaluating subcontractor billing based on the actual work as per site progress.
Roles and Responsibilities in IMS (ISO 9001, ISO 14001, ISO 18001):
• Understood the ISO procedures, policies, work instructions, supporting QSHE Head to create IMS awareness for the company personnel.
• Acts as a MR for the development of IMS System, ensuring the IMS processes are well established, implemented, monitoring and maintaining in all departments.
• Preparing and arranging the IMS related documents like Staff training policy, Quality, HSE Plan, Project &Contract Management Procedures for the approvals and Tender purposes
• Document the EHS activities during Project execution which includes risk assessment, Environmental impact & aspect, Near miss reports, incident investigation report, Non-conformity and CAPA Actions.
• Analyze the EHS records and concoct the EHS statistics and Performance report on yearly basis.
• Record the employees’ internal, external training details and the training effectiveness forms
• Conducting internal audit, preparing the audit report, NCRs, Root cause analysis, Corrective and preventive actions.
• Coordinate with external auditors by providing IMS documents, clarifying their queries to carry out the audit efficiently
