Responsibilities:
Tasks for: Purchasing Operation
➢ Search for quality products at the lowest purchase cost.
➢ Analyze market and delivery systems in order to assess present and future material availability.
➢ Follow the Procurement process including planning review, material requisition, and quotation request
from approved vendors & outsourced suppliers, preparing comparison statement, select the best price and
good quality products, choosing the right supplier, PO preparation and approval, and forwarding PO to
suppliers.
➢ Keep a constant check on stock levels
➢ Negotiate and obtain the best procurement terms Viz. credit facilities payment terms etc with suppliers.
➢ Works in coordination with procurement manager in the efforts to cut down procurement costs by selecting
the right vendor, proper negotiation, consolidating of the requirement and entering in to long term
contracts.
➢ Prepare reports and submit to the procurement manager regarding market conditions costs of materials.
➢ Ensure all requisitions are ordered in time to ensure timely delivery of all ordered products.
➢ To ensure that goods purchased are in accordance with the specification in terms of quality, quantity, and
delivery and to advise on those suppliers who fail to meet specifications.
➢ Maintaining approved vendors list & vendor agreements.
➢ To ensure that price variations are communicated to the relevant parties as quickly as possible.
➢ Continuous follow-up with suppliers for order details, shipment details and communicate to all
stakeholders.
➢ Assisting and coordinating with the delivery of materials on time with proper documentation such as
Delivery Note etc.
➢ Review and Verify DN, Invoices against issued purchase orders and existing vendor agreement.
➢ Arrange for disposal of surplus materials.
➢ Risk management in case of any damage, breakage, shortage, returns, and rejections etc.
➢ Review, monitor, track shipment documents schedule and payment requirements.

➢ Arranging material submittals to get approval from the client/consultant. - (Material Approval Request)
➢ Preparing material approval log, showing records revisions and the approval status of materials.
➢ Preparing compliance statement and submit to the consultant to complete the pending material approval.
➢ Maintain records of goods ordered and received based on each project - (Material Tracking Log)
➢ Every end of the month/week submits to the accounts department all of the credit suppliers Purchase orders
along with proper supporting documents such as price compression charts, MRV, BOQ & Quotations.
➢ Providing best subcontractors prices to estimates team at the tendering times of Major Projects, such as
MEP (FA, FF, HVAC, Electrical & Plumbing), PEB, Civil including block works, flooring (carpet, vinyl &
wooden parquet), IT works, sound system, Car parking shade, and CCTV Works.
➢ Preparing the contracts of the subcontractors.
➢ Create total purchase cost on each project.

➢ Receiving and responding to the inquiries based on the priority
➢ Submitting the quotations and timely follow up with the clients
➢ Filtering and following the possible order to close the deal
➢ Distribution of the project details to related departments after order confirmation and timely update to the
client regarding the project status
➢ Co-operation with Operation Team, Accounts Team and Logistic along with the client for successful
handover of the project
➢ Maintain a fully stocked store
➢ Updating company profiles, project galleries, and client list
