Maintaining a complete Master sheet for company workers and Staff and updating their records on daily basis with regards to their transfer and appropriate amendments.
Maintaining employee’s personal files and records and develop all files.
Consolidating WTS of more than 7000 Labors and Staff, rectifying all errors, comparing with scheduled leave records, allocating appropriate Job Codes, Cost Center and processing the same to Payroll Department for release of Salary.
Liaising with Staff and management on HR/ Payroll related queries.
Processing & maintaining all kind of Leaves, Resignation and Termination of the Employees through letter and Memos.
Keeping records of the softcopy and hardcopy of Leaves, and other related documents.
Processing the Clearances of the Staff on time to be sure that Exit permit is issued before travel date.
Processing renewal of QID for Labors and Staff to Immigration Department with prior one month of their expiry date.
Keeping an easily accessible records of the softcopy and hardcopy of passports, employment contracts, and other pertinent documents for a manpower of more than 7000 labors.
Handling staff queries regarding payroll and HR.
Preparing a consolidated sheet of workers and Staff Time sheets and allocating them to their Projects with respective Charging Rates for back charging the Clients.
Preparing a monthly Cost Report of the Salary paid to the Employees and allocating the same accordingly.
Preparing and updating Organizational Chart and Deployment Plan of the Department.
Preparing the department’s monthly report to be submitted to the General Manager.
Preparing report of the daily, weekly, and monthly summary of activities
Delegating work to staff and managing their workload and output.
Maintaining and updating the daily attendance of the Staff team.
Handling manpower requisitions of different projects of the company and fulfilling the requirements in coordination with Operations Manager and Section Manager.
Coordinating the daily site movement and transfer of more than 7000 labors
Coordinating with the HR Department for the labor undergoing Medical appointment and Fingerprint appointment and informing the same to the Employees.
Coordinating with the Finance Department to receive the EOSS of the separated workers and distributing the same to the concerned Camp Staff.
Coordinating with the Project Time Keeper to receive the Daily Manpower Reports on daily basis.
Disseminating vital information through emails and internal memos.
Performing other administrative tasks as assigned.

Additional Responsibilities:

Meeting Project Director and Project Manager regularly to understand the needs of each task.
Coordinating with HR/ Payroll/ Finance/PMV/ Camps to resolve relevant issues of Staff and Labors.
Verifying the Invoices of Manpower supplied to the Project for Internal and Supply Company.
Generating Daily Manpower Reports based on Daily Time Sheet (DTS) and cascading the same to Project Department/ Section Managers.
Handling Projects Petty Cash for buying materials and as required in Project and getting the same reimbursed from Procurement Department and Finance.
Tracking the Leaves and Separation cases of Project Staff and Workers having it resolved without any delay.
Preparing internal memo as requested by Project Manager/ Project Director for all issues related to Projects.
Receiving and cascading Staff Release (SRF) and Staff Acquisition (SAF) to COO Office based on the approved Organizational Chart.
Monitor and track Project progress and update the same to Planning Manager.
Submitting reports to prepare presentations/proposals for Client/ Consultant as assigned.
Preparing monthly Project Reports in coordination with Commercial, Planning, QA/QC, HSE and Document Control Department.
Providing pertinent answers and solutions to requests for information from colleagues.
Disseminating vital information through emails and internal memos.
