Responsibilities:
Leading a team of 3 (HR Admin, Government Relation Officer & Facility and Accommodation Officer) to achieve the following tasks for Flow PL Eastern Region:
HR Operations & Employee Relations
- Maintaining the monthly HR KPI
- Ensure that HR database is being updated and maintained on timely basis
- Employee evaluations
- Employees transfers
- Employees promotion
- Attending employees complaints
- Make sure that Medical Insurance policy is renewed on time
- Incidents investigation and disciplinary procedures
- Payroll
- Vacation pay calculation
- Tickets issuing
- Employee clearance upon exit or going for vacation
- Conduct exit interview
- Following up with departments for training needs
Recruitment
- CV shortlisting
- Interview
- Selection
- Induction for new recruits
- Make sure all documents are available in the file
Government Relations
- Resident Permits (Iqama) renewal
- Vehicle Registrations (Istimara) Renewal
- Employees exit re entry
- All other government permits
Facilities Accommodation
- Contract review
- Make sure all safety measures are taken
- Make sure all security procedures are taken
- Make sure all employees requirements for furniture and supplies are available
- Make sure that all appliances are maintained
- Make sure of the cleanliness of the accommodation
- Background checking of selected candidates.
- Ensure provided Qualification, Experience, Hiring documents, etc. are in order prior to preparation of Employment Offer.
- Conduct induction for junior employees.
- Provide guidelines to Line Managers on disciplinary matters and take disciplinary action.
- Initiate Employee welfare activities.
- Provide Counseling and address grievances.
- Organize external training and coordinate internal training.
- Conduct Exit Interview of Junior Staff.
- Follow-up with sponsorship transfer
- Come up with retention strategies.
- HR policy development and implementation.
- Shortlisting of CVs
- Prepare Grade and Scale for all positions at par with similar industry.
- Come up with Job Description for every position in discussion with concerned Department Heads.
- Initial Interview for office and technical staff.
- Correcting English exam for applicant.
- Collecting applicant cv’s and all other required documents.
- Hiring process (Offer letters, Agreements….ets
- Employee Joining Formalities.
- Payroll (Monthly salary, increment, allowances..ets
- Employee’s performance appraisals.
- Time management, attendance record.
- Translation (Agreements, Memos, notices and polices) English to Arabic and vise versa
- Perform other related duties as required.
- Preparing all documents prior to renewal of insurance policies
- Addition/deletion of various insurance throughout the year.
- Verification and submission of Medical insurance claim and its Follow up
- Arranging Motor insurance certificates
- Process claims of motor accident and various insurance policies
- Coordination with department for supporting documents for processing insurance claim.
- Arrangement of Hotel/Rent-a-Car and verifying respective invoices.
