In the Department of Surgery I work closely with the surgeons, therefore I provide all kinds of administrative support, such as managing their calendars, setting up meetings and liaising with attendees, administering all learning and development and business travel, Liaising with Weill Cornell University to set up the surgeons lecture times and dates, I also deal with the departments Personal Development Plans and HR for existing and new staff. As well as these duties I work in the Scheduling Department speaking to patients and their parents regarding when and where the surgery will be, then arranging times and dates and liaising with the families to ensure they understand. I also work with the department’s analyst to collate and input data for various surveys and also the patient experience data collected within the hospital.
Working with the Director of Biostatistics within the Research - Clinical Epidemiology Department I provide administrative support to him and the Clinical Epidemiology Team. Manage the calendar, set- up meetings (ensuring content and necessary documents were prepared) and arrange appointments for scheduled workshops. Often this required coordination of off-site participants and the arrangements for transportation to and from site. Responsibilities included arrangement of business travel and coordination of off-site meetings and appropriate materials needed. Coordinated and screened incoming and outgoing communications with follow-up of appropriate actions. Liaised with various departments within Sidra, as well as external organizations on a variety of topics and assignment presented by the Director of Bioinformatics. Ensure that all administrative procedures and databases were kept up to date for accuracy and easy reference. I have also produced a guide on how to extract articles from the e-library and presented to other EAs. I have also took over all the administration work for the CHD Registry in collaboration with Hamad Hospital, from setting up meetings with the committee members to collaborating with HMC staff and setting up credentials for the Sidra staff. At present I am working with the Research Administration Team supporting them with all administrative work.
Temporary contract assignment working with the Chief Information Officer, I provided administrative support to him and the IT team. Working in the central administration, I was involved in all aspects of University and student welfare. Served as advisor on University courses and the admissions process for home and overseas potential students (from the enrolment process through to graduation.) Liaised with parents and advised on student finance and accommodation. Interacted with internal and external departments/organizations that supported student life, i.e., Student Loan Company for student finance and UCAS for student admissions. The day-to-day oversight of the student zone enhanced my understanding and promotion of customer service. Maintaining all databases of student records was a key component of my responsibility, which speaks to the strength of my overall organizational skills.
I was involved in the recruitment and induction of new and temporary staff, providing training and mentoring resulting in a positive team ethos.
Cash handling was an integral part of my customer service role. This required accurate handling of the accounts books at all times. Meeting sales targets was also a requirement that I successfully met, adhering to company policy. Customer satisfaction was essential; therefore I participated in staff training and meetings to ensure further development, which was an important factor of performance.
