Maintains supply in both receptions display area and stock room supply, which includes ordering from
various suppliers from medications, surgery supplies, clinic supplies, and food/toys supplies.
▪ Responsibilities include scheduling appointments, answering the telephone, setting up new clients and
patients, preparation and maintenance of medical records, filling some prescriptions, over the counter
sales, mailings, computer operation, financial transactions, and front office and reception area
maintenance.
▪ Shifts to Veterinary Assistant role when needed. Able to handle small and exotic animals (with
supervision). Responsibilities includes running bloodwork (IDEXX Machines), IDEXX Snap Tests,
Laboratory Works and Basic Operating Room Assignments.
▪ Advise clients on nutritional diets of the pet, flea/tick/heartworm preventatives, pre-anesthetic profile,
dental products and other over the counter products.
▪ Responsible for acquiring the medical and legal information necessary for the performance of the duty.
Serves as liaison between the client and the veterinarian.
▪ Collect specimens that clients bring in for lab analysis as requested by the veterinarian, label and give to
the lab nurse on duty. Note the date and time of specimen collection on the patient file and the client is
informed of the results.
▪ Prepare health certificates such as proof of vaccination, microchip, Annex 4 (EU HC) and Relocation
paperwork. Knowledgeable on Pet Travel Relocation Worldwide.
Welcomes clients with their pets to the clinic in a friendly and courteous manner.
▪ Ensure that clients are comfortable as they wait for the veterinarian. Offers them coffee or tea as
needed.
▪ Answers to insurance queries and workflow.
▪ Answering incoming calls professionally and route calls to other staff members in line with the
hospital’s protocols.
▪ Also collects and prepares client information as well as the patient information for easy access when
they arrive.
▪ Promptly notify the doctor of the arrival of patients, and the state of patient’s condition to avoid
keeping patients with serious conditions waiting for long as this could worsen their condition.
▪ Checking In and Out of patients from their appointments. Also ensures that patients do all necessary
paper work accurately before the discharge from the practice.
▪ Does billing transactions of clients in and out of the practice.
Receives calls and emails and transfers them to respective departments (Finance, Human Resources and
IT).
▪ Responsible for Data Entry of employees via Orbits / HIS such as the full details, salary package,
contract, license (Nurse and Doctor), visa and passport expiry.
▪ Responsible for welcoming new joiners and introducing them to their respective department heads and
to the CEO and COO.
▪ Prepares employment contracts, joining letters, job descriptions, and visa requirements to the PRO.
Also responsible from getting the contract signed by the HRD, COO and CEO.
