Be responsible of managing the proper set up, maintenance, repair, deployment and daily
support of the field site’s various IT systems in a medium to big size Windows environment
- Ensure that all computers (hardware and software), networks, multifunctional printers and
any other IT devices are set up and regularly maintained correctly according to IMC rules and
regulations
- Responsible to design, set up and regular maintain a server network within the office with
local and remote access for but not limited to file sharing and back up purposes
- Responsible for training and supporting end-users with computers, printers, mobile devices,
and any other IT device as necessary
- Responsible for identifying qualified outsourced IT service and utilizing such whenever
necessary in a reasonable and ethical manner
- In a pro actively manner, initiate and contribute to assessments/reports of existing IT systems
and advise on corrective measures to be undertaken.
- Configuring end-user email client for access to IMC email resources.
- Monitoring stock levels of end-user items such as printer/toner cartridges, USB hubs, network
cables USB/memory sticks, desktops/laptops, scanners, and printer
- Responsible for testing the quality for the new procured IT equipment.
- Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards within
International Medical Corps and amongst beneficiaries served by International Medical Corps
- Recording, transfer, donation, disposal procedures, inventory requirements and reporting
assets formats.
- Maintaining the asset register for South & Central Iraq .
- Prepare tags are placed on assets .
- Monitoring the monthly tool and equipment inventories and alerting his superior if there are
any problems.
- Prepare Damaged Broken or Lost report
- Participate to the quarterly physical inventory with the Country Asset officer
- Ensuring that documents comply with the internal procedures and donor requirements
- Filling out, classifying, and archiving the Handover, Waybill, Assets list, and reports forms.
- The physical count must achieve that each asset is tagged with the allocated asset ID.
- Confirm the item manufacturer, origin, description, serial number, model, and that the asset
condition matches the asset list entry.
- Asset location, location within site, asset controller and assigned user must be updated
accordingly
Processes the requisitions sent by the requester in accordance with the Procurement Manual in force by sending, preparing and collecting all the supportive documentation and evidence (RFQ, PBS, organizing tender committee, run Bridger Insight, GRN, SRN, VRT…) to ensure compliance with the International Medical Corps’ internal and relevant donors’ procedures, rules, and regulations.
- Pro-actively coordinate with the requester to develop procurement solutions, infuse customer service satisfaction approach within the department, feed other departments with relevant procurement information, and data useful to enhance project deliverables.
- Educate and support requester to ensure timely submission of approved PRs with sufficient details (specification, Scope of Work…) and realistic delivery target date as per the Service Level Agreement for local procurement in force.
- Is responsible for the timely delivery and regular feedback on the procurement process to the requester (including the progress of procurement planning and progress of individual procurement requisitions).
- Remain updated of internal and donor procedures, attend to refreshment and training activities delivered by the Senior Procurement Officer and/or Country Procurement Coordinator.
- ANALYSING & REPORTING
- Regularly carry out market analysis, collect from potential suppliers: relevant documentation such as registration, tax certificates, owners’ ID, past contract references, invite most-
technically-sound program personnel to conduct documented technical assessment, evaluate supplier’s capacity
- Track and record suppliers’ performance based on in-country agreed indicators (quality, effectiveness, efficiency, payment terms, flexibility…).
- Documented under-performance of suppliers is reported and taken into account during the bidding evaluation process.
- Seek technical advice/support, orientation, and guidance from the Senior Procurement Officer to perform duties inefficiently manner.
- Ensures that the Procurement and disposal of commodities, especially those subject to US Export Compliance regulations, are in line with applicable licenses and are properly documented.
- Promotes and encourages a culture of compliance and ethics throughout the International Medical Corps.
- As applicable to the position, maintains a clear understanding of International Medical Corps’ and donor compliance and ethics standards and adheres to those standards.
- Conducts work with the highest level of integrity. Communicates these values to staff and to partners and requires them to adhere to these values.
