Responsible for planning, organizing and directing the operations of the senior management office (CEO, Board of Directors).

Act as a point person for the office manager's duties including:
Shopping / correspondence / Invoice / errands
Schedule meetings and appointments
Partner with Human Resources to update and maintain office policies as necessary
Organize office operations and procedures
Coordination with the Information Technology Department on all office devices
Ensure that all contractors are invoiced and paid on time
Managing contract and price negotiations with contractors, service providers, and hired labor
Provide general support to contractors and suppliers if needed
Assist in the preparation process for new employees and provide full support
Coordinate with facility management vendors, including cleaning, catering and security services
Plan indoor or outdoor activities, such as parties, celebrations, conferences, etc.
Maintains registers and files in connection with quality documents and records.
Ensures that completed records (ex. closed NRIs, NCRs, etc) contain all the required documents and records prior to filing.
Control and distribution of project documents as instructed, and ensures superseded versions of documents are segregated from updated versions in the Cost control Dept.
Checks documents for submittal for compliance with latest approved templates according to IMS, document numbering / referencing system, and advise originators of discrepancies or error in a timely manner.
Where necessary, liaises and coordinates with the Subcontractors reception regarding submission of documents to Subcontractors and Clients.
Performs any other related duties as assigned
Responsible for training, monitoring and ensuring smooth running of operations to contribute to the success of the branch and ensuring sales targets are met by working with various stakeholders to continuously improve and improve operations. Responsible for achieving targets and expectations set by senior management in terms of production and sales.
Responsibilities:
Manage, train, develop and motivate production and customer service teams by conducting quarterly appraisals and motivating each employee

Make and Ensure HR policies (like leaves, overtime records, warning letters, penalties, etc.)
Developing & updating Job Descriptions, Career Path and Organizational Charts of every Department on regular basis.
Administration of E-Mail distribution list, holiday / absence list, employee contact list, parking list, Sickness leave tracking.
Developing and Maintaining records of Performance Evaluation & Employee appraisals
Coordinates with department heads to conduct panel interviews to speed up the recruitment process (depending on the urgency of filling the vacant position)
Responsible for adding new employees on SAP system
Responsible for sending HR announcements for newly hired employees
Preparing and performing the orientation for new employees
Sends the monthly joiners and leavers sheet to the compensation division.
Open bank accounts for new employees to convert monthly salaries.
Follow up the Interviews schedules for all business lines and ensure the receipt of their evaluations.
Carries out additional HR related activities as required in relation to the HR structure within the division.
Perform a variety of duties in support of the HRM including job and compensation analysis, employee recruitment and testing, ERP system management, training programs, labor and employee relations, negotiations and records management.
Produce and deliver standard (monthly, quarterly, and annual) and customized HR reports. Oversee and lead recruitment and selection process.
Conduct new hire orientations and exit interviews for executive management as needed. Review employee evaluations; ensure policies and procedures are adhered to.
Coordinate leave of absences with employees; conduct interactive processes with employees.
Oversee attendance and leave management.
Coordinate and oversee payroll changes and salary.
Coordinate and participate in preparing and developing the HR policies and procedures.
Monitor the renewals of legal documents and safe keeping of the same.
Provide information and general assistance to staff regarding human resources policies and procedures, answer questions and provide information regarding personnel actions, discipline, employee records, benefits and other related matters.
Monitor and ensure timely employee contract renewals.
Act as a point of contact and build influential candidate relationships during the selection process
Support current and future business needs through the development, engagement, motivation and preservation of human capital
Enter all relevant and available employee information in the HR system and update regarding any change of status or other information.
Respond to employee HR inquiries and requests for information within established guidelines.

Register leave and justified absence on HR system.
Prepare supporting documents for HR requests before submitting them to Payroll.
Source attendances reports from the attendance system and consolidate on monthly basis on cut-off date and submit to Payroll for processing.
Liaise with IT Department to register new employees on the fingerprint machine on first working day.
Track employee’s probation period, initiate and process their probation period evaluation and take required action if they are not confirmed.
Coordinate the opening of bank accounts for employees if required.
Coordinate and book air ticket for employees’ annual leave as per HR policy and procedure.
Distribute performance appraisal forms and collect & collate completed forms.
Perform effective coaching/counseling and if required, follow disciplinary procedures when rules and regulations are violated.
Maintain and retrieve employee files, Preparing the requested HR reports.
Perform any other HR function/tasks as per business needs.
Provide a range of HR services to employees from joining to expiry of contract and assisting in all matters relating to employment.
Provide a range of HR services to support the end to end employee experience in all departments including but not limited to Commercial, Ground Services and Cargo.
Deal with HR queries from Head Office and Regional Office in coordination with Local Managers.
Prepare HR documentation for recruitment, promotions, appointments and salary reviews.
Ensure the local legal requirements are strictly adhered to.
Follow-up of recruitment procedure in coordination with Local Managers.
Ensure appropriate induction and onboarding of new staff.
Supports with performance management and disciplinary processes.
Prepare HR reports required by Regional HR Management.
Follow up and coordination of employee Annual Leave Balances, sick leave, updates in Oracle, and maintain Personal Files.
Ensures smooth implementation of HR and Administration policies.
Perform various administrative duties to support HR records and administration requirements in line with compliance and record keeping requirements.
Coordinate travel, hotel bookings for HR Management.
Answering correspondence, setting up conferences/workshops, travel, budget, payroll, explaining policies, coordinating support services, etc.
Collect monthly payroll data in coordination with accountant consultant
