Duties & Responsibilities: Document Controller - QA/Sales
Coordinate all activities related to the Document Control procedure, including technical documents, drawings, test procedures, standards and commercial correspondence.
Coordinate to with all departments of the company in order to assure that all documents are kept in the right place and in the right department file archive.
Participate in Pre-Inspection Meeting with customer.
Input document data into the standard registers ensuring that the information is accurate and up to date
Ensure that all corporate documents are well checked and submitted on time prior to the documents submission due date. Effectively follow the company's standard operating procedures.
Perform regular audit on corporate documents in order to ensure that all documents are properly submitted to other departments. Responsible for file validation.
Scan and database the approved documents. Keep current hardcopies and file supersede version.
Analyze customer’s comments and coordinate to QC & Sales Engineer to ensure corrections to customer comments are clear and comply with customers requirements.
Monitor customers documentation to ensure that documents are orderly submitted to create assurance to customers that procedures are follow.
Documents : Drawings, ISS, Specification, Accessory Sheets, Calculations, NMR 601/602 & 603, SPDP, MRB, IRB, FDR, SPIR, Test Procedures, Bill of Materials & Spare Parts List.
Handles General Education Subjects (E-learning).
Prepare lesson plan, quizzes, and examinations.
Update teaching techniques to insure and help to learn more about the subjects.
Organize activity inside and outside the institution that help student to see and learn more about the subject.
Management and Manufacturing knowledge which contributes more on understanding and help students to learn more about the subject.
In-charge of the preparations of weekly and monthly production schedule for the company.
Facilitate and in-charge of meeting with production and sales so schedule are meet and discuss delays.
Prepares Monthly Report on actual consumption of customer by manufacturer, classification, specs, thick, width and length and maintains the data of each.
Prepares Inventory /Ageing Report every month-end.
Prepares Monthly Report on production movement.
Coordinate to Sales Manager in accordance to report of consumptions and inventory materials.
Analyze movement versus to allocation materials and report changes directly to Sales Manager.
Monitor rejections, return materials and submit report to Asst. Gen. Manager.
Monitor, update materials location and submit report to PPIC Manager & Indoor/Outdoor Sales Staff.
Analyze inventory report and submit to the President for verification and approval.
Investigate the causes of discrepancy and submit result.
Documents: Inventory Result, Return Receiving Slip, Reject Monitoring, Transfer Material Slip,
Discrepancy Monitoring and Result of Discrepancy.
Monitor and encodes various Purchase Order/Sales Contracts to the computer system
In-charge in preparations of Cutting Order, monitor materials to be used and advise top management in booking of materials.
In-charge of the preparations of Outgoing Inspection, Delivery Receipt, and Sales Invoice for various customers.
Engage a direct communication to customer in regarding to PO and other matters pertaining to materials and order.
Prepares attachment, CID (Certificate of Identification), ATS (Authority to Sell), Boat Note and LOA (Letter of Authority) to export oriented customer.
Deletes deliveries on PO to monitor balances for each customer from time to time.
Prepares report on actual consumption of customer by specs, thick, width and length.
Files: PO/sales contracts, retaining copy of D.R. (blue), and other documents related to Sales.
Reconcile regarding customer deliveries every month-end period versus their forecast.
Prepares volume of deliveries every month-end period and upon request of top management.
Trains contractual, newly hired employees regarding system operation.
Perform other duties assigned from time to time
