Document controller for Design Team Coordination with Authorities and Project Site Team (Consultants & Contractors).
All HSE documents like reports, Audit & training schedules, inspections and Close-outs which are required to be filed/archived in corporate level are collected and managed.
Ensure that all superseded documents are marked distinctly or are destroyed
Maintain a list of currently controlled documents
Update file numbers in filing system as revisions occur.
Monitoring and checking of HSE Documents compliance are as per HSEMS.
Monitoring of RHSEM availability to arrange or schedule meeting and trainings accordingly.
Coordinate and assist in the HSE management system.
Take ownership of polices and procedure which enable the Project to operate safely.
Write up / review and issue HSE Statistics reports, Divisional evaluation & presentation.
Demonstrate safety and a proactive approach to HSE management.
Write up and issue safety Camp, office inspection reports and Internal Audit Reports
Receiving Documents like Drawings, Memos, Letters, Transmittals, Submittals, Inspection Request, Request for Information, Contract Documents and other Construction related Documents.
Monitors proper and on-time encoding/uploading of Documents in the PCM by the Contractors Document Controllers
Encoding of Incoming and Outgoing Correspondences in Database/Excel & PCM
Distribution of Documents that are for action, to designated Engineers/Staff.
Lead Document Controller for the Project with 4 packages (Consultant & Contractors)
Coordinating with the Document Controllers of Client & Contractors of the Project.
Assisting Client in implementation of Project Contracts Manager (PCM) in the Project.
Implementing Document Controls (DC) Procedures as per the Project Management Plan.
• Assisting all Secretaries and Contractor Document Controllers in implementing PCM and DC procedures for each package.
Encoding, Uploading and downloading documents in the PCM and CTS
Monitoring status of Correspondence (Letters & Memos) and Submittals and reporting it to the Project Manager.
Assisting Engineers/Staff in preparing Correspondence, Minutes of Meeting, Reports (Weekly & Monthly), Transmittals, Site Instructions, Variation Orders etc...
Receiving, Labelling and storing of received material samples into a safe storage.
Admin and IT support staff at Consultant Site offices.
Filing of Documents as per the File index list in a proper manner.
Procurement and distribution of office stationery.
Releasing, Receiving and distribution of Correspondence, Drawings and Submittals from Client, Consultant and Contractor, making sure everything are correct as per standards with right contents/ attachments.
Filing of all Construction documents like Incoming and Outgoing letters, Variation Orders, Programs, Transmittal/Submittals, Monthly/Weekly Reports, Design Drawings, Tender/Contract Documents & Drawings, Permits, HSE report, QA/QC reports, Request for Information, Inspection Request etc…
Encoding of Incoming and Outgoing Correspondence in Database, Excel & PCM.
Setting-up, maintenance and monitoring of Tracking LOG Database (MS Excel & MS Access)
Provide assistance to Projects Engineers in preparing Correspondence, Minutes of Meeting and Report.
Prepare/compose Letters.
Admin and IT support for Client, Project Managers and Engineer/staffs at Consultant Site offices.
Coordinating through phone, ACONEX, e-mail, and internet, to Main office support, Client, Consultant, Sub-Consultants and Contractors.
Editing/Printing Drawings using AutoCAD and MS Visio.
Editing Photos using Adobe Photoshop
Monitoring/Updating of Projects Documentation using Web Based Applications (Primavera Expedition and ACONEX).
Bachelor of Science in Information Technology
