Provides administrative support to Estimation department with the following responsibilities:
•Single point of contact between Design & Bid, Sales and Operations team.
•Prepare and update consolidated projection revenue report.
•Ensure all bid enquiries are logged accurately on CRM system as per company guidelines, policy & procedures.
•Identify and liaise with the Contractors for job in hand and tender related enquiries
•Update stakeholders on current bid status, bid progression, issued & potential delays.
•Arrange & manage Company’s Pre-qualification and Registration to various consultants, developers, contractors and Government Agencies.
•Develop dashboard & intelligent reports that helps management in decision making & devising action plans.
•Manage ACONEX including external and internal submission of documents using workflow transmittal.
•Act as liaison with sales team and operations collaborating with workshop and finance to ensure projects success.
•Handle documents for compliance check prior to distribution to its respective recipients.
•Receive and review all incoming emails, enquiries and documents and ensure that it is replied/forwarded/action accordingly.
•Responsible for all documentations and tracking of deliverables by interfacing with project staff to ensure timely data entry for real time status reporting.
•Maintain a filing system that documents all project activity and from which data can be pulled for site completion binders and project closeout files.
•Administer requests for blueprint reproduction. Process Submittals for review and approval.
•Perform other duties as assigned.
Duties and Responsibilities:
Coordinate in future planning for the production & maintenance activities
Deals with correspondence, collating information and writing of reports
Prepare expected output and productivity against all the equipment on hand
Order and maintain stationery and equipment supplies
Update and monitor manpower and equipments at all times
Prepare accurate monthly attendance summary
Responsible for the reimbursement of invoices of all department staff
Set up and maintain organized filing systems
Perform other duties that may assign by the manager
