-Process the monthly payroll in an accurate, compliant and timely manner by following all internal procedures and processes as well as applicable laws and regulations.
-Collect the non-officers’ overtime sheet from the Vessels Pursers and calculate dues accordingly
-Review tax calculations where applicable and ensure that accurate deductions are applied to employees
-Ensure new employee data is accurate (bank account number, social insurance and employee fund deductions)
-Record employee information such as exemptions, transfers and resignations, to maintain and update payroll records
-Calculate and settle the end of service dues for both the employee and the firm including; employee vacations balance, staff fund balance and end of service payments, in line with each country’s regulations
-Issuing HR Letters, Experience Certificates, bank accounts for new hires
-Follow up on the transfer of salaries to the bank and solve any issues
-Track and follow up employee's attendance, leaves, overtime and absences to issue salary reports
-Access gate for new hires and daily attendance for all the employees
-Generate all required reports on a regular basis and as needed
-Maintaining, implementing, and monitoring all required personnel procedures relating to staff terms and conditions of employment to ensure that the company complies with legal requirements and best practice
-Handling the personnel activities including contract renewals, probationary periods, terminations, etc. and their compliance with the Egyptian Labor Law
-Completion and proper filing related to any new hire or existing employee, this includes employee relations, governmental papers (Forms 1, 2 and 6), payroll, and social insurance.
-Updating employee files to document personnel actions and to provide information when needed
Apply Social Insurance adjustments on payroll software annually for proper application to implement for all clients once communicated and agreed.
• Meet and handle clients and co-employees for meetings.
• Prepare and communicate to clients if within scope, regarding:
1- Tax Compilations.
2- Tax Declarations.
• Ensure all formulas on payroll software are reviewed quarterly (spot and check on all)
and send confirmation on which clients were checked to next level.
• Ensure all law changes made (SI/Taxes) are amended on payroll software and reviewed for each client.
• Ensure payroll database updates are done by team (Always make sure client agreement scope, fees, e-mails, changes in names, contract telephone/mobile
numbers are updated).
• Prepare payroll calculations.
• Calculate taxes, review accounts on your own without supervision and send them to Senior Payroll & received.
• Keep a log with all the trainings each person in the team has Make sure all clients payrolls are "closed" quarterly.
• Review and make sure monthly payroll calendar are shared with finance and payroll teams calculations including life premium payments.
• Handling cases and take decisions for Social Insurance From 1 & 6 which are prepared by Senior Personnel Administrators.
• Train newcomers on system and tax calculations.
• Review all employment contracts before they are sent to clients to ensure standard one is being used, that information is accurate, and no articles are added/ deleted without agreeing with Senior Payroll and Personnel Specialist.
• Finalize Work Permit Process (Bring in - Expats renewals - Cancellation )
• Ensure quick responses are handled by the team.
• Ensure that client files with signed agreements, important documents, contracts etc.are filed in client files and saved electronically.
• Ensure tax receipts and social insurance receipts are scanned and translated if necessary (with the help of the Payroll Specialist) and filed on server/emailed toclients.
