General Responsibilities
• Support recruitment and setting up interview schedules for potential applicants.
• Perform administrative tasks across a range of HR areas.
• Support the organization of new employee orientation, on-boarding, and training programs.
• Support payroll department during the salary cycle.
• Preparing external and internal letters like salary slips, salary transfer letters, disciplinary letters etc.
• Keep a track on Tenancy expiries of various company owned accommodations and renewals.
• Handle all governmental processes with the Government Relations Officer to ensure a smooth and seamless on boarding process.
• Keep a track of Visa and Passport expiries and renewals in liaise with GR department.
• Prepare new employee files and maintain filing checklist.
• Coordinate all matters of work permits, visas and cancellation with the PRO
• Initiate visa process, arrange medical insurance other documents
• Update and Maintain HR files & Databases
• Support the management for disciplinary and grievance issues
• Enforce all disciplinary and grievance actions as per the HR Policy
• Prepare disciplinary documents as per instruction from HR Manager
• Coordinate the end-to-end exit process for exiting employees
• Arrange exit interviews with all employees who are resigning (as required)
• Develop and maintain an Exit Checklist Form and ensure that all company owned assets are returned at end of employment for all employees’
Specific Responsibilities including Compensation and Benefits
• Keep a track on General insurances and ensure that insurance certificates are in full compliance and keep track of important policy details.
• Liaise with medical insurance provider to register new staff, leavers, claims and cancellation of policies.
• Negotiation with Insurance brokers/companies with regard to the new insurances and endorsements.
• Follow up the broker or relevant hospital on claims which are not processed within agreed timelines.
• Coordination with payroll department for the processing of salary/deduction and EOSB.
• Coordinated with insurance companies on medical insurance plans, cards issuance, deletions and endorsements.
• Orients new employees by providing orientation information packets; reviewing company policies; gathering withholding and other payroll information; explaining and obtaining signatures for benefit programs.
• Implementing the organization’s recruiting strategy
• On boarding formalities.
• Conducting recruitment interviews and providing the necessary inputs during the hiring process
• Maintaining HR records, such as those related to compensation, health and medical insurance
• Communicating and explaining the organization's HR policies to the employees
