Work flow and time management; Support the Corporate Service Manager (CSM) in the effective and active use of his time in a way that meets appropriate standards
Responding to requests of others by obtaining any relevant background papers/information
Assisting the CSM to complete report backs from meetings and any immediate follow up actions required
Ongoing planning and preparation for the department
Utilising the new electronic records document management system to maintain corporate records
Liaison and Coordination; Develop and maintain key contacts which assist in the smooth coordination of work. Building trust to enable them to speak to me in confidence regarding personal, confidential and sensitive matters. Additionally, ensuring all relevant people are kept informed on issues
Secretariat and Support Duties; Word processing is attended to promptly and accurately. Work flows are managed to ensure the CSM is relieved of as much routine administrative work as possible. Meetings are set up including agenda and document preparation, meeting notes and liaison
DPMC accountability documents; providing coordination and assistance for the development and production of the Statement of Intent and Annual Report to name a few
Analysing the Statement of Intent and Budget to detect any inconsistencies
Preparing the Estimates, Supplementary Estimates and the Financial Debate papers
Maintain a professionally run office
Take phone calls and welcome visitors
Correct handling of all personal, sensitive, confidential or classified material
Working in the Bunker at the Beehive, assisting with crisis management (Christchurch earthquake)
Constructing replies to Official Information Act requests
Auditing the leave files for Human Resources
