SENIOR ADMINISTATOR OFFICER - Plant & Transport Department March 2011 - Till Date

Obtained recognition from the company for consistently surpassing targets and performing superbly and promoted to Senior Administrator officer where I was to handle the Transport Helpdesk. I was exposed to the Senior Management Team and association with company staff, drivers, vendors & Official authorities, which expanded my knowledge scope and augmented my morale. Also got massive experience after I was given the tasks (i.e. New Company car policy, IVMS Installation program, Defensive training program, Monitoring company assets, recruitment of new drivers / operators & etc.)

Responsibilities:

In charge of Transport Helpdesk and providing the Managing Director and Senior Management team with
superb chauffeur service on a day to day basis.

Utilizing Haulage vehicles and drivers and ensuring provision of excellent services to Head Office, Projects
and different department employees on a day to day basis for them to accomplish their work requirements

Liaising with fuel suppliers Emarat and Adnoc for renewal of monthly limits for all company lease vehicles
& manipulating all fuel cards.

Monitoring company assets for timely MOT renewal & cancellation, registration of new assets, handling
third party renewal, driver permits registration & renewal, road permissions & permits.

Monitoring more than 200 IVMS (Tracking System) of all commercial fleets & co-ordinate with concerned
authorities for installation of new IVMS, weekly & monthly reports summarizing, monthly tool box meetings
& dashboard reporting.

Monitoring FMS (Fuel Management system) of company commercial fleets for Diesel distribution, reports
summarizing & dealing with projects on day to day basis for fleets updating.

Monitoring all company lease vehicles & owned fleets allocation / re-allocation at projects, timely contracts
renewal and termination.

Responsible for Defensive Driving Training & RTA medical of all company drivers.

Liaising with workshop supervisor for timely maintenance schedule of company owned fleets.

Processing all company lease vehicles invoices monthly i.e. (Lease, Traffic fine, Accident, Salik) &
maintaining all files and records in Oracle & Mentor system for monthly costing.

Formulating and summarizing all reports monthly and proving assistance to the Plant and Transport Manager
in Dashboard reports for BUR.

Processing and maintaining Plant and Transport payroll for all Senior and Junior Staff, updating time sheet records in Mentor System each fortnight and distributing the salary on each fortnight.

Handling payroll of over 400 employees in 2010 during centralization i.e. Company bus drivers, P&T workshop staff and operatives.

Handling AURORA (a new payroll system) in 2010 and updating all working hours of P&T staff and operatives in the system on a day to day basis for payroll processing via Oracle System.

Coordinating with personal department on a day to day basis for employees’ visas, emirates ID and flight schedules

Handling P&T petty cash AED 10, 000 for general expenses and Registration Petty Cash above AED 20, 000 on a monthly basis for renewal of P&T registration equipment

Liaising with Al-Futtaim FAMCO for repair and maintenance of all HERTZ & AFC buses on a day to day basis, and coordinating with site admin teams for schedule of buses services

Providing reports to managers for Bus Centralization and formulating diesel summary for every bus on a weekly basis and monthly summarization.

Formulating Haulage record on a daily basis and weekly summarization for mentor system and updating hire base system at the end of each month with Haulage cost.
