HUMAN RESOURCES & ADMINISTRATIVE

PERSONNEL
• Coordinates & Assists in creating and implementing a document control system that would allow no leakage of confidential information as well as proper routes towards any needed information at all time
• Plans, Coordinates, and Oversees a schedule for housekeeping and maintenance for all necessary tools and stores as needed, using internal staff or external ones.
• Preparing the policies and procedure of the company, and update the same periodically.
• Assists and supports all employees regarding personnel issues. Answers employee questions regarding personnel policies, procedures and benefits; researches and disseminates topical or timely information to managers and / or Team Leaders, Supervisors, & any employees on personnel issues.
• Prepares and coordinates all accident reports and worker's compensation reports.
• Strict implementation of ISO 9001 Quality Standard & all other applicable Standard & Procedure.
• Handling all necessary travel arrangements for employees during their official visit and making Airlines Reservation, Hotel Reservations and Rent-a-Car etc. in accordance with company policies.
• Manage to prepare employment contracts & renewal of employment contract at due time.
• Ensuring weekly & monthly Manpower Status Report
• Establishes and maintains personnel records and reports in complete confidentiality
PAYROLL & SETTLEMENT
• Handling the monthly Payroll and maintain continuous review of the payments of salaries & resolving any queries or issues related to payroll and prompt redress of grievances of workmen and also reviewing time reports to verify accuracy of hours worked & charged.
• Reviewing and verifying interim payments for employees going on vacation & final settlement for employees going on exit.
MEDICAL INSURANCE
• Handles follow-up Medical insurance and worker's compensation claims.
• Handles return-to-work and disability slips.
• Handling and resolving employee grievances, counsel employees and supervisors.
• Ensuring proper medical facilities are provided to all workmen.
• Dealing with Insurance Co. for medical claims and for medical approval.
GOVERNMENT RELATED
• Ensuring all official documentations and legal standing documents \[required by Government\] are valid, and in order. Ensuring the Company has proper legal standing with all Government offices as needed.
• Handling and Supervising all the processes of necessary official & Gov required work, documents, & certificates, as needed, including; \[Chamber of commerce, Ministries, Labor Office, GOSI, Police, Religious Police, Customs, Municipality\]
• Coordinates & Assists exit re-entry visa for the employees.
• Regularly reviewing the validity of all expatriate employees “Iqamas”, Passports, Work Permit, Exit-Re-Entry Visas, Driving License & Health card, and arranging for renewal before its expiry date, and Visa Transfer in case of New Passport etc.
RECRUITMENT OF NATIONAL & FOREIGN EMPLOYEES
" Correspondence with various departments with regard to employees recruitment, both nationally & internationally, and fulfilling training requirement in coordination with the project / department heads.
" Preparing employment plan for all dept. according to the work requirement.
" Conducting the interviews of new candidates & recruitment both nationally & internationally, and providing orientation and training. Determines employee classifications, and ensure completion of all appropriate paperwork for new employees.
" Updating job requirements and job descriptions for all positions in liaison with Department Managers, keeping the JD file updated as and when required.
SAUDIZATION
" Maintaining Saudization percentage in order to keep the company status stable.
" Recruitment of special category of Saudi workers, such as HRDF / Handicapped workers and arranging to provide training in the Institute and female staff, which gives good benefit for the company in the Saudization rate
" In order to minimize the Saudization rate, established branch offices under parent company name, and transferred low category workers to branch offices.
RELATIONSHIP
" Communicating (and proper representation) of the company with the outside world, as required, and negotiating & managing the business relationship to the best of the Companys welfare. This includes Financial Institutions \[Banks\], Government offices, Malls, Police, Companies with whom we have any business relationship like Travel Agencies, Clearance Agencies, Hospitals & Clinics, Shipping & etc.
