Role Description:
Monitoring scheduled deliveries, ensuring that the orders are being sent out to the customers timely and efficiently. Inspecting the items for any defects before delivery. Collaborating production, sales & account departments to
Preparing reports to evaluate drivers, trucks, assets performance.
Key Accountabilities
To prepare delivery note for all shipment (local, export, ocean fright) and ensure that all deliveries are accurate and appropriately documented.
To prepare invoices for some customers as per instruction received from Sales.
To modify delivery, note by adjust quantity of partial offload deliveries or cancel for return deliveries.
Take empty / full weight for all trucks enter the plant.
Give loading slip to drivers.
Receive all acknowledged delivery note & invoice from drivers.
Organize and prepare list of all acknowledged and submit to account department.
To prepare list of available Permits & COO in weekly basis.
To file all loading note and attached supported documents.
Send dispatch email for all export deliveries and some local deliveries (as per sales instruction) mentioning driver / truck details and attached supported documents.
Send email to our customer acknowledge loading notes and invoices of their client.
Support Finance in monthly closing.
Arrange necessary documents for ocean freight.
Follow up customer orders & payments.
Monitor stock level for hydrochloric acid and plan for weekly sales.
Prepare tankers status report and following up with garage in-charge.
Asset our manager on KPI report.
Predict monthly sales and adjust to reach budget.
Communicate with customers (Ministry & normal) orders, deliveries, complains.
Type Arabic letter: - Replay to our customer complain.
Arrange trucks for export deliveries with our transportation company and third party.
Arrange ocean freight documents and payments.
Responsibilities:
• Manage maintenance system \[Maximo v 5.0 & 5.1\], which include (creates work order for each equipment, prepare preventive maintenance for each equipment, corrective maintenance; receive, transfer, issue items thru system).
• Charging others department by service order program (oracle).
• Type all contract of Warehousing Dept. in Arabic including (Accommodation contract - Service contract)
•Type all ministry letter to (apply driving license - prepare replaced license or civil ID).
• Create and update 1400 employee files for Warehousing Dept.
• Finalize Department employee issue with HR & Finance Dept.
• Collect original Civil ID from HR department.
• Prepare require documents to apply driving license for company drivers FTD.
• Collect original driving license from traffic department.
• Co ordinate with drivers training department to test new drivers and trained them before send to mission.
• supervise the staff at the Spare parts Store 24 / 7.
• Supervise Spare parts warehouse team \[Including Oils, tires, Mercedes Truck parts and drivers tools\].
• Load and unload items to flatbed by diesel forklifts.
• Organize the warehouse items to utilize more locations.
• Monitoring the inventory and fixing the discrepancy.
• Prepare shifts schedule for all employees.
• Co ordinate with Garage department to improve the work and process procedure.
• Compare with our stock items (WH-CS) and arrange required.
Responsibilities:
• Reviewing the customer paper work with cargo agency.
• Attestation bill of lading of our customer with ministry of for affair.
• Paying the customer (custom tax).
