• Maintaining & updating leaves in Oracle Fusion HRMS, following up with employees for regularizing their attendance.
• Approving & Processing all leave salary advance, house rent advance & joining advance requests.
• Resolving issues with IT department related to Oracle Fusion & Oracle EBS interface, Bio matrix machine.
• Supporting finance at the financial year end to ensure on time disbursement of office incentives.
• Assisting the HR manager in the increment cycle process. Updating & validating all salary changes in Oracle fusion.
• Managing the Employee Separation process, thereby ensuring smooth exit of employees from the organization. Calculation & payment of final settlement, confirming all clearances & visa related formalities have been completed.
• Identifying and recommending updates to payroll processing software, systems, and procedures.
• Liaising with medical insurance provider to register new staff, deletion of leavers from group insurance policy.
• Supporting employees in their insurance benefits queries & sending reimbursement claims to insurance broker.

Delivering complete HR and Admin support for smooth running of HR operations in the company. Responsible for timely Payroll processing, Compensation & Benefits, Time and Attendance, HR Reporting, HRMS Super user, Employee Life Cycle, Separations management. Supporting employee services function in ensuring an effective customer service for employees at all levels.

• Responsible for processing accurate and timely Payroll via Menaitech HRMS system in conformity with all internal policies and regulations.

• Processing in advance annual leave settlements, Tracking & maintaining all employee leaves (Annual, Sick leaves, Unpaid) balances in system ensuring its compliance to company leave policy.

• Preparing all payroll related reports for finance department like staff accruals report and Accounting vouchers report.
• Verifying and validating the new joiners data entered in the system by the HR Coordinator, adding all employee financial information in the HRMS.
• Super user of the HRMS modules (MenaPay, MenaTA) responsible for smooth running of the system, verifying HRMS data to ensure integrity. Assisting managers and employees in resolving operational system issues.
• Updating any user settings and parameters as and when required, raising tickets to the software service provider and coordinating in resolving any technical issues. Performing user testing, identifying operational gaps.
• Suggesting new procedures and policies to continually improve efficiency of the HR department and the company as a whole. Providing advice to management & staff on human resources policies, procedures, and labour law.
• Sole point of contact for all salary and benefits related queries, advising employees about company policies and grade benefits. Conducting HRMS training for new employees
• Preparing statement of all bills relating to petrol, telephone & DEWA, ensuring they are duly paid & deducting any over limit usage from employee salaries.
• Preparing monthly HR reports like Leavers & Joiners, OT variance, Attrition rate, payroll reconciliation & manpower. Analysing the reports, giving suggestions for changes and improvements.
• Assisting the HR Manager in preparing the HR Budget, Performance appraisal process, Departmental KPI’s.
• Supporting in organising employee engagement activities and giving suggestions to promote a happy work culture.
• Supporting the PRO manager on visa, labour card renewals and cancellations process. Custodian of employee passports.
• Liaising and providing all the information and reports required by the internal auditors and external auditors.
• Preparing Salary certificates, Salary Transfer letters, NOC and other company letters. Developing and standardising all the letter templates to promote consistency.

Successfully managed complete payroll operations for 1500+ employees, achieved improved payroll accuracy, earlier salaries disbursement, optimization of payroll costs by implementing electronic attendance system. Made changes in Payroll standard operating procedures and increased the utilization of Mena Pay HRMS by 20%.

• Responsible for preparing, processing and distributing monthly payroll for contract and subcontract employees by integrating all data which impacts payroll calculation.
• Preparing various off cycle transactions: Annual vacations pay, end of Service settlements (EOSB), housing advance, reimbursements & cash advance.
• Preparing and adding monthly variables pay like Overtime, Freezer Allowance, Sales incentives, Bonus, etc.
• Assisting payroll section head with month end consolidation and payroll reconciliation.
• Reviewing and recommending amendments in organization policies & procedures in full compliance to the Saudi labour law. Also suggesting best HR practices.
• Verifying, monitoring and correcting the attendance reports as per the applicable policies. Posting Increments, promotions, business trips, duty resumptions in Menaitech HRIS system.
• Employee relations, primary point of contact for all HR related queries specifically compensation & benefits related. Escalating any grievances which require management attention.
• Updating, monitoring the MENAITECH HR system, ensuring data integrity and coordinating with the IT team and ERP services provider for troubleshooting technical issues, system updates and customization to maximize utilization of the system.
• Ensuring all payroll documentation is duly filed for audit requirements and in compliance to companies Compensation & benefits policy.
• Preparing and uploading bank files for employee funds transfer and, downloading Wages Protection System (WPS) files for Ministry of Labour submission.
• Replacement for the Recruitment Executive and Insurance & Ticketing Executive during their absence. Sourcing talent through various job boards like Bayt, LinkedIN, NaukriGulf, scheduling interviews and communicating further with the candidates regards their application.
• Informing new employees about the company’s policies and procedures, the benefits eligibility in respect to his Job grade, reporting structure, medical insurance benefits and claims process.
• Conducting exit interviews, taking employees feedback and completing all exit formalities. Ensuring all clearance approvals from the concerned departments, preparing EOSB calculation, Exit visa, communicating with the Ticketing & Insurance Executive for removing employee from the Insurance and booking his air tickets.
• Coordinating with the Government Relations officer for Exit entry visa & final exit visas.
• Working with the HR team in organizing Annual Iftar parties, Employee Rewards and recognition events.

• Selling customer’s paid services plan and providing rental flats to the premium clients by sourcing data, matching it with client requirements.

• Coordinating between the landlords and tenants rental agreements, also negotiating terms and conditions of rental contracts.
