- Prepare open and sealed Request for quotations as per the received Purchase requisition from end user.
- Support the buyer for technical or other clarification questions raised by bidder
- Draft emails for queries and answers between buyer and bidder to expedite to complete clarifications.
- Prepare a status of all inquiries and update the status for in a common network space to see by the buyer and the end user
- Follow up with bidders to submit quotations before the bid closing date and record the updates timely.
- Arrange sealed bids opening coordinating with bid opening committee
- Prepare commercial bid analysis and follow up to get final signature on the analysis.
- Follow up the contractor for their acceptance after awarding the project
- Prepare contract and follow up to get final signature on the contract from both parties.
- Expedite to get required documents from contractor such as Performance bond, legal documents etc…
- Send unsuccessful letter to the rejected bidders.
- Follow up with end user for update of project and record the status.
- Receive, review and park the invoices in SAP.
- Follow up get required documents to forward the payment process to Accounts department.
- Do filing of all the documents to the related projects.
