Preparing DH employees related documents; vacation plans, shift schedules, employee’s internal transfers, promotions, multiple and exit re-entry visa thru government relation department, hotel reservation arrangements, visa processing for the business trips, designing & updating the department website, Notifications, PR, SES, SSRS, IT and other supporting services.
Preparing SHE reports based on the safety engineers, daily, weekly and monthly project/department ongoing status reports and presentations in coordination with the Project Engineer, Project and Department Manager, coordination with different departments and senior executives regarding the project status, documenting project P&ID’s, various official and unofficial documentations based on the project requirements.
Verifying monthly invoices and timesheets for the contractors and vendors, preparing service entry sheets, monitoring and controlling office equipment’s and stationeries, conducting a physical store inventory and keeping records, assisting the department planning and budgeting team.
In charge for the project transportations as well as the vendor transportation, hotel reservation arrangements, visa processing for vendors and delegates based on the project meetings, organizing all departmental and projects events and vendor meetings, materials expediting for project and department based on the requirements.
In charge for the contractor staff accommodation, transportation arrangements, vacation plans, shift schedule, multiple and exit re-entry visa processing and air ticket reservations based on the requirements and schedule, coordinating the medical formalities for the contractor employees Iqama, ID’s and driving license.
Coordinate with rental heavy equipment companies for RFQ and negotiate the price based on the project requirement. Arranging the fuels for the equipment’s and maintain well organized monitoring system.
Efficiently played a role of communicator and point of contact to coordinate with different sites, subcontractors, suppliers, consultants and clients.

Manage and maintain all controlled department documents both electronic and physical format
Update and control procedure documents and forms
In charge of all document identification, classification, filing Scan, image, index, and organize documents project wise
Archive, control and retrieve records as and when needed. Keep records of project details, meeting minutes, technical specifications, drawings, etc.
Classify, sort, and categorize documents in alpha-numerical order
Controlled distribution of documents to internal departments and sought proper explanation
Minimized risk impact on losing documents and maximized project opportunities
Frequently conduct document audits confirming they are current and accurately reflect recorded evidence
Ensure revised documents are accessible. Assist with communication during external audits
Conform to company enforced specifications and Document Control Procedures
Train employees in company’s-controlled document processes to ensure correct handling of documents
Check and edit incoming documents and prepare for distribution
Create document filing and organizing systems that are both effective and efficient
Ensure proper organization and security of documents (paper and electronic)
Log document requests and help retrieve documents as needed for employees
Make available, notify and distribute documents to relevant recipients
Confirm delivery of documents to proper personnel. Collaborate and communicate with managers and project leaders
