Prime Responsibilities Includes:
Systematically maintains and updates hard copy and electronic detailed records of project documents and other confidential project-related files (Individual passwords and any other information kept confidentially for archive and retrieval).
Performs the strict compliance for all incoming and outgoing approvals/submittals (Workshop Drawing, Document, Sub-Contractor, Materials, Request for Information, Confirmation of Verbal Instruction) as per the standard distribution of rules and procedures.
Prepares Correspondence, Memo, Progress Report (Daily, Weekly and Monthly), Submission Transmittal and Payment Request.
Responsible in graphical comparison of Contractor’s and Consultant’s submitted completed works report to be presented in Progress regular meeting.
Attends and screens inquiry, request and appointment thru e-mail, call and facsimile/fax transmittal.
Monitors the replenishment of office supplies, ordering as required, and in-charge of maintenance of office equipment.
Assists the Project Team such as EVP, Commercial Manager, Construction Manager, QA/QC Manager, Project Manager, Deputy Project Manager, Design Manager & Draftsman for any project-related tasks.

Deals with Suppliers thru phones & e-mails.
Receives instructional materials for examination and for purchase.
Responsible in Library Transactions together with the Selector Librarian such as Acquisition of Books, Materials and Equipments and Subscription of Magazines and Newspapers.
Maintains and updates hard copy and electronic detailed records of Library Files, Holdings, Supplies and Properties. (Individual passwords and any other information kept confidentially)
Prepares Requisitions (Purchase Order) and Correspondence
Submits monthly and yearly reports to superior.
Performs assigned accounting functions (bookkeeping) such as keeps records of financial transactions, verifies, allocates, and posts details in journals, audit disbursement vouchers and cheques, credit and debit memos. Summarizes details in separate ledgers or computer files and transfers data to general ledger. Reconciles and balances accounts.
Supervised and delegates support staff (24 Student Assistants) for scheduling including work assignments, duties, shift rotations and back-up for absence.
Petty Cash and other money matters Custodian.
Clerical works.
