Administrative Responsibilities:
a. Assisting the CEO, Managing Director and Head of Accounts.
b. Providing complete departmental administrative support for 20 staff members.
c. In charge of Managing and scheduling the drivers for Clients Site Tour, delivery and to pick up documents all over Dubai.
d. Liaising with Hertz on the vehicle rent-a-car and call Hertz to book the service.
e. Checking all the monthly company vehicle, keeping the log book with daily kilometres and maintaining the record for oil change and service.
f. Monitor daily salik account and responsible for recharge the salik account both personal and company vehicle.
g. Processing of Bills Payable.
h. Arranging for internal meeting room or board room facilities for clients.
i. Assigning of company mobile phones, SIM Cards and keeping log of employee.
j. Preparing LPO of our ongoing Building Projects.
k. Arranging and preparing of sending legal documents to clients through courier worldwide and handling all the post.
Hr /PRO Responsibilities:
l. Daily monitoring and sending monthly reports on the daily attendance of all employees to Managing Director and Head of Accounts.
m. Maintaining, updating and filing annual leave application after the approval from the Managing Director including Sick leave and Absences.
n. Maintaining 201 File and keeping records of Employees Data.
o. Processing new visa and renewals on company sponsorship (MOL and Immigration) including their dependents if any.
p. Assisting the Administrative Manager/HR.
q. Processing renewal of License from Jafza as PRO and DED.
r. Booking international and Middle East travel arrangements.
s. Assisting the Administrative Manager/HR On boarding services for
HR & Accounts Department from 2012
Assisting the Finance Manger to process the LC.
Computation of Salary for more than 500 employees.
Knowledgeable of visa processing and labour law in all Emirates of U.A.E.
Payroll Processing through WPS Salary.
Follow - Up of Invoices.
Prepare and send LPO to suppliers.
Prepare and sending quotations.
Handling client inquiries.
Prepare Agreements on the Project Basis.
Making of Invoices both labor supply and by square meter contract agreement.
Entry of Cash Transactions, Bank Transactions, Journal Entries & Invoices in Tally ERP 9 accounting software.
