• Ensure all activities like business travels, external trainings, international exhibits participation, attendance to global conferences and forums of the QHSE Department are coordinated timely, efficiently and effectively.
• Compiles all the required information from all the operational units to complete the monthly QA reports, actions plans and QA performance reports.
• Ensure all new team members have laptop, e-mail addresses, phone and access to the SharePoint and Compliance Database.
• Coordinate movement and schedule of external trainers, external auditors, calibrators, lab technicians and all other QA service suppliers.
• Manages the department’s group email address and provided daily updates on incidents, near misses, customer complaints, PNCRs, defects to the senior management team and the QA team.
• Ensure the Management Cockpits and QA performance reports are completed on time and correctly.
• Monitors and guarantees that all team members meet work deadlines.
• Raise Purchase Request Forms for all QA purchase requirements (entire lab fit outs, QA consumables, hard ware, laptops for eligible QA staff members) and ensure timely delivery
• Manages online subscriptions, membership and strategic partnership with international standards/organizations like ASTM, IATA, EI and JIG.
• Controls the QA records, reports and standards library
• Updates and maintains the department’s Microsoft SharePoint page.
• Assists the laboratories in theater for the ASTM Proficiency Testing Program in Diesel, MOGAS and Jet Fuel.
• Other duties as assigned.
• Provided accurate shipping and receiving data to Supply manager, procurement and other ATCO Frontec Europe personnel.
• Analyzed requirements and provide logistical advice and support to ATCO Frontec Europe personnel.
• Maintained shipping and receiving records and provide related data.
• Used excellent customer service skills to establish and maintain effective working relationships with other employees, officials and all members of the public.
• Facilitated and ensured the completion of all shipments including any customs clearance requirements that pertain to ATCO Frontec Europe and its subcontractors.
• Facilitated collection of all necessary information for customs memos required to clear the incoming shipment though Karachi, Pakistan.
• Assured that all information for incoming shipments is passed on to the concerned parties.
• Managed and prepared import and export clearance documents and letters that pertain to ATCO Frontec Europe, and employees, to contracting officer and our agents.
• Checked the accuracy of all the documentation submitted, prior to being submitted to ISAF, Ministry Of Foreign Affairs, Ministry of Finance, and other related offices or agencies.
• Maintained an accurate and up to date files and Tracking Logs on all export and imports shipments and internal country shipments.
• Verified clearing, transport & shipping rates to insure that the company is not being over charged.
• Provided various Managers or Requestors with updates on the real status of shipments.
• Informed the various Managers as to when the goods / cargo will be exported and give the copies of the export documents to them when completed.
• Coordinated with all the departments to arrange the scheduling of trucks, trailers, cranes and other transportation equipment as required.
• Determined the best method of shipment by checking items to be shipped, destination, route, rate, and time of shipment.
• Updated the Supply Manager throughout the Shipping and Customs process
