Reservations and Booking Enquiries.
● To maintain the Group Booking filing system.
● To take conference requirements from clients in a detailed manner & communicate qualified brief to
hotel per Standard of Operation.
● To request for corporate rates from hotels as directed by the Sales Managers & follow up in a timely manner.
● To request Group proposals from hotels as directed by the Sales Managers & follow up in a timely manner.
Events and Trade Shows
● To co‐ordinate with the respective hotels at trade shows & other sales events ensuring
all appropriate support material for these shows is in place.
● To organize & co‐ordinate functions, promotions & events.
● To design hard & soft copy of invitations, organize distribution & monitor RSVP’s to report to Global
Sales Manager.
Administration
● Co‐ordinate purchase orders.
● Respond to daily requests from client or Managers for brochures /information on Starwood
propertied globally. E.g. Post or courier sales kits.
● Assist in the collation of data/information requested from time to time by the Director of Global
Sales, other Global Sales Offices & Hotels.
● Collection and delivery of mails.
● Maintain office hours/ attendance records/ leave records.
● Maintenance of hotel directories, ensure a stock of all necessary property brochures &
programme information maintained in the office. Request replenishment from hotel if stock if low
& monitor a timely response.
● Assist the Managers in ordering & acquiring food & beverage for their appointments as needed.
Key Responsibilities
● Attended weekly sales meetings or other respective meetings as required.
● Co‐ordination of appointments for Sales Managers & visiting Hotel representatives by collating &
typing schedules.
● Full working knowledge of Company’s marketing programmes & promote, administer & support team as
necessary.
● Regular Email corporate blast for promoting the membership programs to clients.
● Assisted Managers with the collation of corporate contracts, rate tenders, client proposals.
● Assisted managers while they are on familiarizations etc. by ensuring emails & messages have been
checked & responded to in a timely & efficient manner.
